Job Summary
The primary responsibilities of this position include customer service and clerical work relating to the following job functions: processing and recording of instruments, documents, and judgments into the public records of Okeechobee County; assisting customers with record searches; managing the tax deed and mortgage foreclosure sales processes; issuing marriage licenses; and processing passport applications.
Essential Job Functions
- Review and evaluate all documents for recordability and determine the proper assignment of fees as prescribed by Florida Statute.
- Provide assistance to professional abstractors and the public in records research.
- Input and verify pertinent information into records management system for indexing recorded documents.
- Process tax certificate paperwork and files in accordance with established procedures, guidelines and statutes.
- Provide information about the tax deed and foreclosure sales processes to the public.
- Schedule and monitor online Tax Deed and Foreclosure Sales.
- Process passport applications; review documentations for compliance with regulations.
- Process marriage license applications and issue licenses.
- Perform marriage ceremonies, as needed.
- Issue certified copies of official documents.
- Administer oaths; witnesses and seal signatures.
- Calculate document stamp fees and intangible tax fees for documents.
- Receive payments; balances cash and checks; collect appropriate fees.
- Notarize documents.
- Answer telephone and assist customers at the service windows
- Possess a keen attention to detail and exhibit a high level of professionalism.
- Other duties as assigned.
Minimum Required Qualifications
- High School Diploma or GED
- Qualifying experience may be substituted for the education requirement.
- Excellent communication skills, both oral and written.
- Good interpersonal skills and the desire to work in a team environment.
- Skill in the operation of computers and keyboard data entry.
- Ability to sit for extended periods of time while concentrating on repetitious or complex tasks.
- Ability to work in a fast-paced environment with frequent interruptions.
- Accurate keyboarding and data entry skills.
- Must be organized and detail-oriented.
- Walking, standing, or sitting for extended periods at a computer.
