Description

In this role you will:
- Order, manage, and distribute office supplies to ensure efficient operations. Maintain inventory, vendor relationships and cost control while tracking supply usage.
- Process daily returned mail, address change notices, address change requests according to credit union procedures. Utilize security procedures to ensure the member authorized the change of address and performs quality assurance to protect against potential identify theft. Update bill pay information, address, phone, email.
- Scan and index daily teller reports, signature cards, CDs, Collections, and Payment Services work. Along with scanning, perform quality assurance within the Enterprise Content Management (ECM) System on all items scanned by Accounting, Finance, Real Estate, Commercial Services and Payments Services.
- Maintain list of pending dormant accounts, changes accounts to dormant, ensures fees are charged, and escheats the dormant accounts to the state at the end of the year to ensure compliance with the Oklahoma Statute.
- Maintain Records Spreadsheet which contains all current OCCU documents, documents acquired by merger or destroyed along with the day they were destroyed. Maintain inventory list for Iron Mountain, send files as needed, and review inventory for box description to include end of year destruction performed during the fourth quarter.
- Assist with vault filing duties ensuring that it is organized and maintained frequently including member signature cards, document file folders and retention records stored in the vault. File incoming documentation from credit union branches into member files (real estate, collections, etc.)
- Sort and distribute credit union mail received from the US Post Office, interoffice and faxes to all departments. Collect outgoing mail from each department ensuring the postal standards are met, promoting a positive & professional image with all mailings.
- Prep, check-in, and perform quality assurance on documentation received from retail staff related to signature cards and other member related documents. Maintain and communicate outstanding signature card to credit union staff to ensure documents have been received and completed with the proper information to maintain compliance with BSA and Regulation E.
- Coordinate workflow to ensure subpoenas and other court orders are processed in a timely and accurate manner.
- Maintain a professional work environment during mail distribution, reflecting a positive demeanor with staff while fulfilling research requests, mail requests and working with couriers.
- Ensure documentation is filed accurately in accordance with department timeliness standards, including monitoring daily workflow to ensure court ordered documents are completed and expedited to meet required deadlines.
- Deliver service to both internal and external members that is in alignment with the credit union's Service Promises and Service Standards and meet all established service goals.
- Maintain confidentiality at all times.
- Comply with all security guidelines related to physical and information security.
- Comply with the requirements of all Credit Union policies, procedures, and guidelines including but not limited to the Bank Secrecy Act, Dodd-Frank Act, and Anti-Money Laundering regulations as they relate to the position.

Requirements
Who we're looking for:
You are detail oriented and know how to stay focused while juggling multiple tasks.
You may currently hold the title of: Teller, Records Clerk, Document Management Specialist, Data Entry Clerk or File Clerk.
You'll need to have:
- One or more years of similar or related experience
- High school diploma, GED or higher
Even better if you have:
- Banking experience
