This position ensures the smooth functioning of the Oklahoma Dental Association (ODA) office while supporting strategic initiatives to promote the organization’s goals and member services. Salary: $40,000 annually with benefits
Key Responsibilities
Communications and Marketing:
· Manage and maintain ODA’s social media accounts, creating content for platforms like Facebook, X, YouTube, and Instagram and interacting with the public online
· Edit and update the ODA website to ensure information is accurate and current
- Produce mass email communications through Constant Contact and Outlook
· Create and send monthly e-newsletters to membership
· Provide writing and graphic design support for the ODA Journal and other publications
- Assist with media relations, including writing press releases
- Assist directors with events, membership initiatives, and fundraising activities
- Solicit new advertisers, partners, exhibitors, and sponsors
- Enter sales orders and create and send invoices using Salesforce
- Assist with entering of payments/making deposits and mass mailings
· Other related duties as assigned
Office Operations:
- Serve as the primary receptionist, managing incoming and outgoing communications (phone, email, mail, office guests, deliveries)
- Open and close the office each day
- Oversee office supplies, equipment, and facilities, including vendor and service provider relationships
- Maintain office records, databases, and filing systems
- Manage the Mediation Review Program, resolving disputes between patients and dentists with neutral-party assistance
- Support daily operations and provide administrative assistance to all ODA staff
Qualifications
Education:
- Bachelor’s degree in Communications, Public Relations, Marketing, Business, or a related field preferred
Experience:
- Social media management and content creation
- Communications, marketing, graphic design, video, or PR
- Nonprofit, association, reception, customer service, or other office management duties
Skills:
- Proficiency in Microsoft Office Suite, Adobe Creative Suite, and Canva
- Strong organizational skills and attention to detail
- Exceptional verbal and written communication skills
- Ability to prioritize responsibilities effectively
- Energetic, self-starter with a collaborative mindset
- Customer management software or other database experience a plus
Work Environment
The ODA office operates Monday through Friday, 8:00 AM to 5:00 PM. This position is full-time with occasional evenings and weekends for events and deadlines.
