What are the responsibilities and job description for the Scholarship Specialist III position at Oklahoma State Regents For Higher Education?
This position provides support for the administration and operations of Oklahoma’s Promise – (OKPromise), including maintaining database and paper files, processing applications and award claims, answering telephones and handling mail.
Responsibilities and Duties
- Responsible for the payment of OKPromise scholarship awards: verifying claims, processing payments, and timely notification of payment to institutions, while ensuring compliance with state regulations and program polices.
- Maintain student database records for the program, ensuring accurate data entry, updates, and the integrity of records.
- Work with the IT and Software Development team to troubleshoot database maintenance and enhancement.
- Evaluate and process online applications for OKPromise – evaluate and determine if the application is complete or incomplete; initiate contact with parents, students, school counselors, or DHS to obtain required documents for completing the applications; maintain correspondence for follow-up applications; respond to phone inquiries for applications.
- Process student applications and prepare documents for imaging.
- Answer inquiries (phone, mail, e-mail, etc.) regarding the program and other scholarship programs and services and distribute information and materials.
- Compile, analyze, and prepare reports on OKPromise data.
- Reconcile OKPromise records with the business office.
- Respond to inquiries and provide student support for students, parents, counselors, and financial aid officers regarding OKPromise via phone, email, or mail communications.
- Assist with cross-functional training for full-time and temporary staff regarding the OKPromise program policies, eligibility requirements, and processing procedures.
- Assist in organizing and preparing information and materials for mass mailings.
- Assist the Director of Scholarship and Grant Administration in OKPromise operations.
- Other similar duties as assigned.
Position requires Bachelor’s degree or equivalent education and related work experience. Excellent organizational, communication, and interpersonal skills are needed. Word processing, spreadsheet, and database software skills are required.
Preferred Qualifications
Financial aid experience and Spanish language skills preferred but not required
Supervision
The employee performs work under the supervision of the Director of Scholarship and Grant Administration.
Work Hours Agency offices are open to the public from 8 A.M. to 5 P.M. Monday through Friday. These are the normal office hours for Agency employees. Physical Demands
Ability to sit and stand for extended periods of time. Exhibit manual dexterity and hand-eye coordination to operate a computer, keyboard, photocopier, telephone, calculator and other office equipment. Ability to see and read a computer screen and printed material with or without vision aids. Ability to hear and understand speech at normal levels, with or without aids. Ability to communicate clearly. Physical ability to lift up to 25 pounds, to bend, stoop, climb stairs, walk and reach. Must use the proper manual handling equipment including but not limited to dollies, carts and lift team members. Duties are normally performed in an office environment with a moderate noise level.
