Administrative Assistant II-Civil Process Primary Responsibilities:
Oversee and manage the Oldham County Sheriff’s Office Civil Process Division to include:
• Process and route Eviction Notices, Writs of Possession, Executions, and schedule set outs
• Process and route Civil Summons
• Process and route Garnishments
• Process and route Court Subpoenas
• Process and route Court Orders
• Process and route Notice Motions
• Process and route Small Claim Actions
• Process and route Show Cause Orders
• Process and route Juvenile Summons
• Process and route Jury Summons
Maintain and prepare the Quarterly Report for Summoning Jurors
Maintain and prepare the Monthly Report for Summoning Witnesses using Court Net
Process E-Files and payments
Assist and act as backup to the Managing Finance Director by becoming familiar with and performing the following tasks:
• Process and route daily deposits for the Tax and Fee accounts
• Prepare the monthly tax report
• Issue refunds on tax bills
• Process exemptions on tax bills
• Collect and process Franchise Tax payments
• Distribute monthly tax district checks
Research and provide Tax Bills for mortgage companies and homeowners
Process Property Tax Payments by mail
Collect and process in-person tax payments in all forms (cash, credit card, or check)
Scan Tax Payments by check using Merchant Source Capture, for automatic deposit
Balance Tax Payments daily, during busy months as needed
Assist Warrant Admin with routing and processing Warrants, Criminal Summons, Protective Orders, Mental Health Orders, Etc., as needed
Assist with front counter duties as needed, to include vehicle inspections, carry concealed deadly weapon permits, tax payments, etc.
Assist with organizing and collecting payments for charitable fund raisers (ex: golf scramble, shop with a deputy)
Serve as a Notary Public
