JOB PURPOSE
Support company operations by maintaining office systems and supervising staff.
Report directly to the Clinic Director.
ROLES & RESPONSIBILITIES
GENERAL
· Making sure practice runs smoothly and efficiently.
· Meeting with Clinic Director (summary of all office activities)
- Weekly (review statistics / day-to-day operations / problems & conflicts)
- Monthly (review statistics / personal evaluation / state of clinic)
· Supervise all staff; professional and administrative.
- Coordinating lines of communication between practice leaders and team.
· The team is trained and equipped in all applicable areas.
· Maintain office services by organizing office operations and procedures
- Maintaining company office policies & procedures (employee manual)
- Oversee administrative and support staff PTO / non-PTO.
- Management of location Paycom (payroll / PTO / “ask here”)
· Maintain office operating system (Genesis) including all updates.
· Monitor office expenses
- Order all necessary office and medical supplies.
- Communication with outside vendors (i.e. building maintenance)
PATIENT CARE COORDINATION
· Maintenance Office Scorecards / Practice Statistics
- Track and evaluate Vital Signs & KPI
- Keep doctors informed by reviewing and analyzing reports, summarizing information, identify trends (i.e. upward & downward trends)
· Maximize patient care, clinic growth / stability and maximize team effort.
· Patient Case Management
- Health insurance verifications
- Prior-authorizations
- Additional tests ordered (i.e. MRI, referrals, etc.)
- Presentation of financials to patient (PCC role)
· Manage all patient accounts
- Bills / Payable / Receivable (communication with I&B department and Clinic Director)
- Monthly Patient Statements
- Review patient cases and handle all issues with (patients in need of special attention) (i.e. financial, issues, trade concerns, special patient arrangements)
- Oversee patient EFTs in payment systems & Genesis
- Maintain knowledge of insurance and medical codes and terminology by monitoring all medical billing and insurance issues, including Medicare.
FRONT DESK MANAGEMENT
· Overseeing Front Desk staff; Appointment book / schedule
- Includes working front desk when applicable (coverage, supportive help, etc.)
· Make sure all digital leads are called and scheduled proficiently.
· All front desk shifts are covered (PTO management)
· Front Desk Training
- Perform and Maintain all Front Desk weekly trainings (role playing) according to TRP modules. These trainings always occur and are not missed or rescheduled.

Pay: $27.00 - $29.00 per hour
