What are the responsibilities and job description for the Part Time Office Administrator position at Olympia-Lacey Church of God?
Job Duties
- Receptionist, acting as primary point of contact for telephone, electronic and in-person inquiries
- Provide primary administrative support to Senior Pastor as requested
- Provide additional administrative support to Children's Coordinator, Youth Pastor, Worship Pastor and other staff as needed
- Maintain church membership and volunteer scheduling database, Planning Center Online (PCO), utilized for all church scheduling and communication.
- Assist church bookkeeper as needed with preparation of bills and credit card statements/management of receipts.
- Maintain church calendar and facility/room reservations via PCO.
- Create and produce internal and external publications including forms, brochures, postcards, certificates etc.
- Manage and update church social media including creating content as requested.
- Work with staff on effective internal and external communication plan utilizing social media, church communication online software, SMS, personal calls and written communication that assists in community connection, assimilation of new attendees and communication with existing members
- Keep church website up to date.
- Point of contact for facility and equipment repairs, maintenance, utilities, janitorial, etc.
- Responsible for ordering and maintaining office supplies
- Maintain church keys
- Maintain and keep current all church records, licenses, permits, alarm systems, insurances, governmental reporting, etc.
- Assist ministry groups with ordering of materials, supplies and other needs (i.e. Bible studies, kitchen ministry, ordinance ministry)
- Coordinate on-site support for special events, including set-up, take down, event coordinators, janitorial service, etc.
- Prepare Sunday morning worship materials, including Worship Plans, Media Loops for announcements, Connection Cards and Communion Supplies, and other needed communication
- Provide primary support to church council, including gathering and distributing council materials for monthly council meetings and support for business meetings
- Assist as necessary with outreach events, including Community Block Party, Movie Nights and Fall Outreach
- Function as an integral part of our church staff, participating in staff meetings,, personal development, staff training and retreats as requested
- Maintain positive working relationship with Cornerstone Christian School office staff
Skills Required
- Proficient use of Microsoft Office programs, including Word, Excel, PowerPoint and Publisher
- Desktop Publishing experience with Canva or Adobe or willingness to grow in these skills
- Excellent written and verbal communication skills
- Ability to work with frequent interruptions, balancing administrative responsibilities with ministry opportunities
- Ability to work independently, effectively prioritizing responsibilities.
- Must be able to multi-task
- Strong organizational skills with attention to detail
