JOB SUMMARY:
The Billing Specialist is responsible for managing the billing process and ensuring accurate and timely invoicing for products and services. This role requires attention to detail, strong analytical skills, and effective communication abilities to interact with clients and internal teams.
ESSENTIAL JOB FUNCTIONS:
· Invoice Preparation: Generate, review, and send invoices to clients and funding agencies in a timely manner, ensuring accuracy in pricing and terms.
· Account Reconciliation: Reconcile customer accounts and resolve discrepancies promptly.
· Data Entry: Maintain accurate billing records in the billing system, ensuring all transactions are documented correctly.
· Customer Communication: Respond to client inquiries regarding billing, payment processing, and account status, providing excellent customer service.
· Payment Processing: Monitor incoming payments, apply them to the appropriate accounts, and follow up on outstanding invoices.
· Reporting: Prepare billing reports for management, including accounts receivable aging reports and revenue forecasts.
· Compliance: Ensure compliance with relevant regulations and company policies regarding billing practices.
· Collaboration: Work closely with customer service and finance teams to resolve billing issues and improve processes.
· Process Improvement: Identify areas for improvement in the billing process and implement changes to enhance efficiency.
· Perform other duties as assigned
KNOWLEDGE SKILLS AND ABILITIES
- Should demonstrate broad oversight experience in an office setting, be highly organized and self-motivated, and have excellent oral and written communication skills
- Demonstrate ability to utilize sound judgement, work effectively under pressure, and maintain high level of confidentiality
- Demonstrate ability to effectively manage multiple complex projects with critical deadlines
- Strong computer skills utilizing word processing, spreadsheet, as well as strong typing, filing, and record keeping skills
- Able to demonstrate a genuine concern and respect for all cultures and diverse populations served by OlyCAP
QUALIFICATIONS:
· Education: Associates and/or Bachelor’s degree in finance, Accounting, Business Administration, or related field preferred. (A high school degree will be considered based on an applicant's experience.)
· Experience: Minimum two years of experience in billing, accounts receivable, or a related field. Experience with USDA billing and other government agencies is a plus.
· Technical Skills: Proficient in billing software and Microsoft Office Suite (especially Excel).
· Attention to Detail: Strong attention to detail and accuracy in financial data handling.
· Analytical Skills: Ability to analyze data and resolve discrepancies effectively.
· Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
Job Type: Full-time
Pay: $20.03 - $24.40 per hour
