Job Summary
This person will oversee the day-to-day office and administrative functions that result in a smooth workflow– including handling communications, registration, and bookkeeping.
Responsibilities:

Communication and Outreach
- Available as first contact for inquiries about programs and organization.
- Receives and processes mail.
- Maintain website and social media. Keep up to date with events, sponsorships, programs forms and community members.
- Maintain ONE website, social media accounts, donor database, jovial registration software and all software necessary to run programs, accept donations, and keep organizational records.
- Maintain an up-to-date mailing lists
Organizational Management
- Renew, file, and update all essential insurance, licences, and reports to maintain non-profit and organizational operations:
- General Liability and Director and Officers’ insurance
- State Non-Profit Annual Report and Renewal
- Annual B&O Excise Tax
- Annual Federal 990 Tax Form (with help from accountant)
- County Conditional Use Permit and other land use agreements
- Coordinates IT resources, troubleshooting, and planning including maintenance of Google services (Gmail, Drive, Docs, Sheets, calendar) and mobile phone.
- Maintains office space, supplies, furniture, equipment, and resources including communication of office operations and systems to all staff for smooth operations
- Oversee daily office operations and ensure efficient workflow
- Maintain organized records and files (both digital and physical)
Financial Management
- Track budget throughout through monthly reconciliation using Quickbooks and submit monthly financial reports and budget updates for the Board
- Support the Tuition assistance committee in determining and distributing awards based on annual budget
- Run monthly Payroll and complete monthly payroll report using Gusto and Quickbooks
- Ensure sound financial management practices including Local, State and Federal Laws, GAPs and Industry best practices
- Ensure quarterly taxes,annual 990, and annual state B&O excise tax are filed
- Oversee the maintenance of Quickbook system
Registrar
- Manage registration process for all programs including form updates and creation, waitlists, billing, confirmations, family contact information, and reminders
- Using Jovial software, manage registration, enrollment, student files, billing/accounting
- Maintaining waitlists for classes at capacity
- Communicate with interested families, answer questions and help orient incoming families into our programs and guide through the registration process.
- Coordinate scheduling of current families who switch, drop or add class days.
- Available for a broad range of other logistics, coordination and general administrative tasks.
Compensation:
Hourly wage $21-24 DOE, 15 hours per week
