Job Summary
The Executive Director is a pivotal leadership role responsible for overseeing the strategic direction and operational management of the organization. This position requires a dynamic , visionary leader who will foster an inclusive, positive work culture, effectively manage finances, and develop the organizations donor base. The Executive Director will work closely with the board of directors and program leadership to ensure the organization meets its goals and objectives while fostering a culture of inclusion and place-based education.

Responsibilities:

Outreach

- Act as the public face of ONE, both in person and in videos, photos, newsletters, social media, etc.

- Connect with school families by attending back-to-school events, school year celebrations, and classes throughout the year

-Speak publicly via radio, video, and at public and private appearances to further ONE’s programming, fundraising, and outreach goals.

-Write press releases and create marketing materials as needed to support fundraising and outreach.

-Collaborate with local community and other non-profits to further ONE’s mission through programming, fundraising and community projects and to critically assesses our community’s needs and how they intersect with ONE

-Maintain website, social media accounts, donor database, and all software necessary to run programs, accept donations and keep records.

- Maintain Thank You materials and delegate Thank you notes/packages for all financial and other support for ONE

- Produce communication and donor cultivation materials, such as seasonal newsletters, handouts, presentation slides, etc.

- Maintain an up-to-date mailing list and support the communication team in the administrative needs of Mailchimp.

- Direct staff and board members in roles for continued advertising and outreach success

Fundraising

-In collaboration with the Board of Directors, oversee and support the organization’s short and long term fundraising priorities, goals and work plans. Current fundraising includes:

-Donor Cultivation and Stewardship,

-Grant Program

-Sponsorship Program

-Fundraising Events and Activities

- Execute ONE’s Grant Program including but not limited to: tracking grant timelines, developing grant programs and wish lists, prospective grant research, working individually and as part of a small team to write grant applications, following up and cultivating grant foundation relationships, etc.

- Oversee the planning and execution of all ONE events, giving campaigns and donor cultivation and stewardship

- Manage Donor Database

Organizational Management

-Create climate of welcome, inclusion and nature connection

- Ensure all activities are consistent with ONE Mission, Vision, Values, the current Board approved strategic plan, Fundraising and Outreach Plan and Program goals

- Act as advocate between Board of Directors, those we serve, and employees

-Support the Board in routine Strategic Plan updates and use those goals as road maps for activities

-Prepare notes, reports and information for the board so they can make decisions to lead the organization including financial and budget reports, director’s reports, program updates, matrix map, annual report and fundraising updates

-Recruit and train new board members, support board members as needed including in conducting ED annual review, in board recruitment and board manual updates

-Schedule, plan and lead yearly Staff and Board retreat

- Purchase and upkeep General Liability and Director and Officers’ insurance

- Coordinates IT resources, troubleshooting, and planning including maintenance of Google services (Gmail, Drive, Docs, Sheets, calendar) and mobile phone.

-Maintains office space, supplies, furniture, equipment, and resources including communication of office operations and systems to all staff for smooth operations

Financial Management

- Create and sustain plan for long term financial sustainability in accordance with board’s strategic plan

- Create annual budget for board approval that aligns with strategic plan

-Maintain and improve financial systems to support financial sustainability and efficiency

- Track budget throughout the year through monthly reconciliation using Quickbooks and prepare monthly financial reports and budget updates for the Board

- Meet with the Board Treasurer to review financials monthly

- Support the Tuition Assistance committee in determining and distributing awards based on annual budget

-Manage and process monthly Payroll and complete monthly payroll report using Gusto and Quickbooks

- Create, grow and maintain Fiscal Reserve to match Strategic Plan goals

- Ensure sound financial management practices including Local, State and Federal Laws, GAPs and Industry best practices

-Ensure quarterly taxes and annual 990 are filed

-Input data and maintain the Quickbook system

Staff Management

-Create a people centered environment that welcomes diverse perspectives, cultures, and experiences, leading to excellent job satisfaction and retention of employees

-With the Program Director, oversee staff training including onboard training, and ongoing staff professional development and opportunities for staff that reflect organization’s strategic plan goals

- Oversee all employee evaluations

-Conduct periodic check-ins with staff and support staff’s desired areas of professional growth

- Working with the Program Director, hire all staff and maintain appropriate staffing for all programs

- Review employee compensation plans to ensure they include regular and fair wage increases

-Ensure compliance with all state and federal labor and hiring laws

-Distribute yearly offer letters detailing upcoming school year jobs, duties and job descriptions

- Ensure staff’s employment contracts are signed/renewed when job descriptions change

- Working with the Program Director, monitor staff’s job performance, and in the case of poor performance, issue written warnings and disciplinary actions as needed

Program Management

- Working with the Program Director, vision, schedule, budget, staff and fill programs with participants

-Ensure Tuition Assistance is consistently available for all programs to meet ONE’s goals for equity, inclusivity and anti-racism culture

- Working with Program Director, ensure Programs are consistent with ONE’s Mission, Vision, Values and culture, ensure program safety, appropriate training and site supervision of all programs

- Annually update and review all land use agreements used for programs

- Work with families and staff to resolve issues that arise between any and all parties involved in ONE programs

-Oversee data collection for planning of future programs or improvement of current programs through surveys, stories, and other reference points

-Be responsive, respectful and open to feedback about programs from participants and the general public

-Working with the Program Director, support staff in educating and welcoming new families through orientations, site visits, conversations, problem solving and question and answer sessions

-Oversee the creation and update of policies (both internal and external) that keep programs safe and improving

- Update, maintain, uphold and distribute program policies.

-Oversee equipment use and purchase, ensure alignment with ONE values and strategic plan goals (tools, technologies, art supplies, etc.)

-Create budgets and maintain budgets for each program that grow with the needs of the program

-Manage registration process for all programs including forms updates and creation, waitlist, billing, confirmations, family contact information.

- Create yearly School Calendar

- Modify and update training manuals as needed

- Complete instructor and volunteer background checks

-Work with Program Director in recruitment efforts to hire new teaching staff including substitutes

-Serves as on call program support during program hours for emergency situations as needed

Registrar

-Using Jovial software, manages CRM based enrollment, attendance, billing/accounting

-Assignment of classes for new registrants

-Maintaining waitlists for classes at capacity

-Creates, receives, processes registrations and applications of interest

Compensation:

Hourly wage starting at $33/hr, 35 hours per week,

Benefits package of 1/20 Paid time off, professional development stipend starting at $100 yearly

Tuition Compensation for family that is determined annually in May

Pay Increases will be considered at the budget review cycles in Spring
