Patient Service Representative (PSR)
Olympic Sports & Spine (OSS) is seeking an Experienced Patient Service Rep. to join our dynamic Spanaway clinic. Olympic Sports & Spine (OSS) is committed to providing quality customer service and care to our patients and being a great employer to our employees. This is a full-time position with full benefits, and the schedule is Monday - Friday from 9:00 a.m. - 6:00 p.m.
This position demands a high level of patient scheduling, including excellent communication, attention to detail, and proficiency using the Electronic Medical Records (EMR) system; Raintree is preferred. Effective time management skills and the ability to multitask and prioritize daily duties are also expected.
We are looking for a dependable, mature person with a pleasant demeanor who stays calm under pressure, can handle high-volume scheduling, and is looking for long-term employment.
SUMMARY OF DUTIES: This PSR will ensure that as many appointments are scheduled as possible by utilizing all available resources and communicating with clinic providers and patients.
JOB RESPONSIBILITIES:
- Continuously monitors and updates Lead Tracking dashboards, maintaining timely execution of scheduling responsibilities.
- Use Call Center system as designed.
- Execute the subsequent call and text protocol for each new patient on the waiting list until the patient is scheduled or until the protocol has been exhausted.
- Use the NP Scheduling site to coordinate scheduling with each clinic's Case Load Management system and ensure patients are scheduled with appropriate providers.
- Use the NP Scheduling site on the Javelin to correctly identify each provider's clinical specialties and schedules appropriately based on their diagnoses.
- Identify high-priority patients from referral queues for immediate calls/scheduling.
- Leave voice and or text messages for patients per protocol.
- In completing new patient scheduling duties, use the Single Page Intake form, collect e-mail addresses, send a welcome letter, advocate portal use, explain the value of completing paperwork in advance that accompanies the welcome letter, and prepare patients for the Patient Payment Agreement and putting a credit card on file.
- Overcomes scheduling obstacles using a variety of information resources.
- Moves scheduled patients to alternative providers at the clinic to create openings to accommodate new patients with scheduling restrictions due to insurance rules, therapy needs, gender preferences, or other requirements.
- Attends to Medicaid admission limitation policies.
- Manage all aspects of FCE and PGAP scheduling at OSS.
- Assign clinic locations for all referrals received without a specified clinic.
- Redirect referrals to alternative clinic's lead tracking queues as directed based on relative volumes, first appointment wait times, and other variables

Education/Experience:
Minimum High School graduation or equivalent AND two years of experience in an appropriately related medical position scheduling medical appointments.
Salary : $20 - $32
