Job Description:
Position Summary:
Wealth Management Risk is seeking an Executive Assistant to support multiple Managing Directors of Wealth Management Risk. The individual should be a self-starter, interested in operating in a dynamic environment and comfortable with engaging senior stakeholders on a regular basis. This role will support multiple Managing Directors of Wealth Management Risk.
Key Responsibilities:
Key responsibilities will include, but will not be limited to the following:
• Administrative Assistance: Support Managing Directors and other senior team members of WM Risk as needed
• Telephone Coverage: Prioritize important calls with professionalism and judgment
• Meeting Logistics: Coordinate senior management meetings, occasional town halls and other forums
• Travel and Expense Management: Arrange business travel, book travel arrangements and prepare expense reports
• New Hire Setup: Manage the new hire setup process in close coordination with team members, Administration and Technology
• Backup Coverage: Provide backup support for colleagues during vacation / sick days
• Other tasks in support of the day-to-day operations of the WM Risk organization
Required Skills:
• Minimum of 3 years of experience in an Executive or Administrative Assistant role
• High school diploma or GED is required; Bachelor's degree preferred
• Being able to multi-task in a fast-paced environment
• Experience in calendar management
• Adaptable team player
• Good problem-solving ability
• Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)
• Effective interpersonal skills and excellent telephone etiquette
• Excellent verbal and written communication skills
• Ability to handle sensitive and confidential situations with discretion, tact and diplomacy
• Detail-oriented and thorough with strong organizational skills
• Ability to multi-task and meet deadlines with minimal supervision
• Outstanding time management skills and sound judgment
• Strong working experience with Microsoft Word, Excel and PowerPoint, including table creation, mail merges and basic formatting.
