Event Manager
Reports to: Director, Event Design and Management
Job Overview:
The Event Manager leads the planning, production, and execution of all OMNIA Partners events across multiple departments ensuring details align with organization’s strategic goals. Reporting to the Director, responsibilities include conceptualizing, preparing, and managing event timelines. Events represent a key marketing channel for OMNIA Partners and working alongside other business verticals to align event goals is a priority.
- Strategic Event Coordination: Coordinate all aspects of internal and external meetings and tradeshows including pre-planning, onsite execution, post-event reconciliation, vendor management, registration, exhibitor management, and sourcing.
- Vendor Management: Develop and maintain strong working relationships with internal and external stakeholders, vendors, speakers, and venues.
- Budget & Deadline Adherence: Oversees budget preparation and tracking to ensure the best value costs while ensuring adherence to all deadlines and budgets are met.
- Communication Evaluation: Collaborate and lead discussions with internal departments to ensure alignment with organizational goals.
- Contract Negotiation and Adherence: Lead contract negotiations with vendors and tradeshow associations, collaborating closely with the legal team to finalize agreements. Manage and ensure that contract obligations, concessions, and benefits for sponsorships and third-party vendors are fully met.
- Logistics and On-Site Management: Assist event execution on-site and oversee logistical aspects of events while managing run of show objectives.
- Tradeshow Promotion Analytics: Track and analyze promotional inventory and metrics for cost per lead, budget management, and promotional effectiveness.
- Exhibitor Logistics: Knowledgeable in exhibitor kits and sponsorship prospectus to ensure clear communication, maximize engagement and sponsor visibility.
- Event Marketing and Promotion: Manage driving events and marketing promotions through various channels, to maximize participation, engagement, and lead follow-up.
- Content Development: Develop, write, design, edit, and distribute content for event invitations, websites, and presentations, ensuring high-quality and consistent messaging across all materials.
- Event Metrics: Manage tracking key performance indicators and gather data to ensure event success providing recommendations for continual program improvement.
Training/Skills/Experience: (Minimum relevant work experience for successful job performance.)
- 7 years of experience in event and tradeshow management, ideally in a corporate setting.
- Strong organizational, communication, and project management skills.
- The ability to work under pressure and adapt to changing circumstances while demonstrating flexibility and problem-solving skills.
- Proficiency in event management, design, and software tools.
- Ability to work independently/self-starter and collaborate as a team.
- Strong negotiation and budgeting skills.
- In-depth knowledge of event industry trends, terminology, and best practices.
- Proficient in Microsoft Office Suite 365, event software, CVENT, On Arrival, and Salesforce.
Education Requirements:
- Bachelor’s degree in marketing, Hospitality, Communications, Business, or related field.
