Specific Job Function:
The Shipping Coordinator is responsible for managing the shipping operations of the manufacturing facility, ensuring that all products are shipped accurately, on time, and in compliance with company policies. The role involves coordinating with internal departments, third-party carriers, and vendors to facilitate smooth and efficient shipping operations.
Key Responsibilities:
Shipping Operations Management:
- Coordinate the picking, packing, and shipping of finished goods in a timely and accurate manner.
- Verify product orders against shipping documentation to ensure completeness and accuracy.
- Prepare and process shipping labels and any required documentation.
- Maintain shipping schedules to ensure timely delivery and track shipments.
- Oversee proper packaging, labeling, and handling of goods to minimize damage and ensure compliance with safety standards.
Inventory Management:
- Monitor inventory levels in the shipping area to ensure the availability of products for shipment.
- Collaborate with warehouse personnel to track stock levels and make necessary adjustments to avoid delays.
- Assist with inventory audits and ensure proper documentation for all outgoing shipments.
Carrier and Vendor Coordination:
- Communicate with shipping carriers (e.g., UPS, FedEx, freight companies) to schedule pickups and ensure shipments are routed properly.
- Negotiate rates and monitor shipping costs to ensure cost-effective solutions.
- Maintain positive relationships with external partners and vendors to ensure efficient service.
Documentation and Compliance:
- Maintain and update shipping records and ensure all documentation is accurate and accessible for auditing purposes.
- Resolve shipping discrepancies, such as damages, delays, or order mix-ups, by working with internal teams or external partners.
Customer Service and Problem Resolution:
- Address customer inquiries related to shipping status, tracking information, and delivery issues.
- Investigate and resolve shipping errors or delays in a timely and professional manner.
- Collaborate with other departments, such as Sales and Customer Service, to provide shipping-related support.
Continuous Improvement:
- Identify and implement process improvements to optimize shipping operations.
- Track key performance metrics (e.g., on-time delivery, shipping accuracy) and recommend strategies to improve efficiency.
- Provide daily reports to the leadership team using SQDIP metrics.
- Work closely with the CI/Quality team to continue developing SOPs for shipping operations.
Qualifications:
- High school diploma or equivalent required; an associate’s or bachelor’s degree in logistics, supply chain, or a related field is a plus.
- Previous experience in shipping, logistics, or supply chain management within a manufacturing or warehouse environment.
- Familiarity with shipping software and systems (e.g., ERP systems, freight management tools).
- Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
- Excellent communication skills, both written and verbal.
- Ability to work independently and in a team-oriented environment.
- Strong attention to detail and problem-solving skills.
- Must be forklift certified or willing to become forklift certified.
Working Conditions:
- Ability to work in a fast-paced manufacturing environment.
- Physical demands may include lifting up to 50 pounds, standing, walking, and using shipping equipment.
- May be required to work overtime or weekends during peak shipping periods.
