SUMMARY:
The Administrative Assistant is responsible for providing clerical and consumer support services
to the division. Will work under the direct supervision of the Office Manager. This position works directly with HR.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Answer phones and greet customers in a friendly, courteous manner.
• Communicate with staff regarding clients and service performed.
• Schedule appointments for services and obtain necessary prior authorizations.
• Assist if needed with clinical duties such as urine drug screens, breathalyzer testing,
injections, phlebotomy services and completion of vitals.
• Properly and accurately document data related to the identification of the donor and
completion of sample labels, logs, and billing sheets.
• Complete daily paperwork and enter.
• Scan and send physical results to companies.
• Assist with client chart audits and work with staff and physicians to ensure proper
documentation and billing.
• Track drug screens to coordinate care and ensure completion of appropriate drug
screens.
• Performs other clerical duties including inventory and maintenance of supplies, copying,
faxing, scanning and mailing as assigned.
• Attended required training and maintained required credentials associated with the
position.

Performs other duties as assigned by supervisor.

REQUIRED QUALIFICATIONS:
• Administrative Assistant with previous experience in a medical office.
• Knowledge of substance use disorders and impact upon individuals seeking services.
• Knowledge of medical terminology.
• Professional experience with management and staff supervision, including working with a
team.
• Must be able to form good working and therapeutic relationships.
• Must be organized, detail oriented and able to maintain confidentiality.
• Must have excellent oral, written and interpersonal communication skills.
