The Design Studio Office Coordinator is responsible for supporting the Design Studio Manager in the daily operations of the Design Studio. This position will use product knowledge and design process knowledge to answer questions and provide information to new and / or prospective buyers and will assist with browsing appointments as needed. Additionally, this position will ensure the accurate coordination of inter-department communications, meetings, and events.

Essential Duties and Responsibilities

  • Manages and maintains the calendar of the Design Studio. Acts as key contact for sales and design regarding all appointment setting. Gets contract information to designers and email confirmations to buyers.
  • Coordinates the rotation schedule for designers and their design appointments.
  • Responsible for coordinating buyer gift bags for all design appointments.
  • Manages all office supplies as needed.
  • Acts as a point of contact with maintenance for related issues coordinating solutions and management
  • Back up for Design Manager reporting
  • Return or refer incoming design studio messages promptly.
  • Becomes educated in the line of products carried and their uses to effectively communicate with guests
  • Serves as safety officer and point person for emergency and / or critical issues that arise in the day-to-day operations
  • Responsible for preparing and submitting Marketing Request Forms for Design Studio and following up to ensure everything requested is received
  • Attends all staff meetings and product sales training meetings to stay knowledgeable of all new and upcoming product lines on the market
  • Provides the highest level of customer service to all current and future buyers
  • Addresses customer complaints and works to find a resolution, involving management as needed
  • Meets deadlines and prioritizes duties in a fast-paced environment
  • May open and close the Design Studio, as needed
  • Communicates Effectively : Speaks, listens, and writes in a clear, thorough, and timely manner using appropriate and effective communication tools and techniques

  • Maintains a positive and professional demeanor toward all residents, visitors, and co-workers
  • Performs other duties as assigned

Qualifications

Education and Experience :

  • High School Diploma or equivalent required, Associates Degree preferred
  • 3 years of experience in a similar position preferred
  • 2 years of administrative experience preferred
  • Skills and Knowledge :

  • PC proficiency is essential
  • Must be able to read, write, and understand English and have good verbal and written communication skills
  • Bilingual (Spanish) preferred but not required
  • Energetic, driven, and focused on delivering a world-class customer experience in every interaction
  • Ability to operate a motor vehicle
  • Well organized, ability to multi-task, efficient
  • Ability to convey messages and ideas concisely and effectively with professionalism
