JOB TITLE: OPERATIONS MANAGER
SUMMARY:
The Operations Manager will act as the operational core of the Branch, streamlining workflows, fostering accountability, and promoting a collaborative culture. The role will begin with a hands-on approach to enhancing daily operations, gradually shifting toward strategic planning and responsible for managing a team of professionals across Air and Ocean Operations.
DUTIES AND RESPONSIBILITIES:
- Lead and manage daily freight forwarding operations, ensuring smooth execution of air and ocean export activities.
- Develop and enforce detailed Standard Operating Procedures (SOPs) to standardize workflows, reduce errors, and maintain compliance with international trade regulations.
- Serve as the primary escalation point for complex challenges, offering guidance and decisive solutions to address operational bottlenecks.
- Establish and monitor Key Performance Indicators (KPIs) to assess performance at individual, departmental, and organizational levels.
- Provide bi-weekly performance reports to the Branch Manager, offering actionable insights and strategic recommendations.
- Support long-term growth initiatives by scaling operations and replicating successful models for future office expansions.
- Collaborate with clients, carriers, customs brokers, and other stakeholders, especially during escalations or peak demand periods.
- Consistently exceeding client expectations, strengthening the company’s reputation as a reliable partner in the freight forwarding industry.
SUPERVISORY RESPONSIBILITIES:
- Maintains department staff by recruiting, selecting, orienting, training and developing personal growth opportunities for new team members
- Implements and enforces performance expectations, policies, and procedures by coaching, counseling, and disciplining associates.
- Maintains a safe and healthy work environment by promoting team members’ recognition and building strong relationships.
- Resolve conflicts or complaints from team members promptly and effectively.
- Achieve department objectives by managing Operations Coordinators, including planning, and evaluating department activities.
- Manage department staff coverage to ensure optimal business efficiency.
- Supervise the performance of Operations Coordinators, providing guidance and support as needed.
- Provide comprehensive training to new and existing team members, ensuring a high level of competency and professionalism.
- Conduct annual performance evaluations for team members by providing feedback and performance development plans.
- Review time-off requests in the company system and either approve or deny them based on business objectives and supervisory discretion.
EDUCATION REQUIREMENTS:
- High school diploma or general education degree (GED) required.
- Bachelor’s degree in business administration, Logistics, Supply Chain Management, or a related field preferred.
QUALIFICATIONS:
- Three to Five years of proven experience in import/export operations or logistics management.
- Knowledge of logistics and freight forwarding processes, including air, ocean, and multimodal transport.
- Strong knowledge of customs regulations, tariffs, and international trade agreements.
- Cargo Wise Certified (preferred)
- DG Certified (preferred
- Proficiency in logistics systems, CRM tools, and basic data tracking.
- Proficient computer skills with MS Word, Excel, and PowerPoint
- Strong ability to motivate team members
- Effective interpersonal and communication skills to liaise with various stakeholders across different regions.
- Problem-solving skills to handle escalations.
- Attention to detail to ensure documentation accuracy and timely delivery of services.
- Ability to work independently as well as part of a collaborative team environment.
- Excellent organizational skills with the ability to manage multiple projects simultaneously.
- Ability to adapt to change and work in a fast-paced, dynamic environment.
