Job Title: Dental Receptionist

Position Type: Full-time / Part-time

Job Summary:
As a Dental Receptionist, you will be the first point of contact for patients, ensuring a smooth and positive experience from arrival to departure. You will be responsible for managing patient appointments, handling billing and insurance information, maintaining patient records, and supporting the administrative operations of the practice.

Key Responsibilities:

  • Greet patients warmly upon arrival and check them in for their appointments.
  • Make Phone calls, Answer phone calls, emails, and inquiries, providing information about services, appointments, and office policies.
  • Schedule, confirm, and manage patient appointments, ensuring optimal office flow.
  • Verify patient insurance information and assist with insurance claims.
  • Maintain accurate patient records in electronic health record (EHR) system.
  • Process payments and handle patient billing inquiries.
  • Ensure the waiting area and reception area are tidy and well-organized.
  • Provide patients with pre-appointment and post-appointment care instructions.
  • Assist with office tasks such as filing, faxing, and handling correspondence.
  • Collaborate with the dental team to ensure smooth patient flow and assist with any administrative tasks as needed.

Qualifications:

  • High school diploma or equivalent (Associate degree or certifications in medical or dental administration is a plus).
  • Previous experience as a receptionist or in a customer service role (dental office experience preferred but not required).
  • Knowledge of dental terminology and insurance plans is a plus.
  • Strong computer skills, experience with dental software preferred (e.g., Dentrix, Eaglesoft, Open Dental).
  • Excellent verbal and written communication skills.
  • Ability to multitask, prioritize, and stay organized in a fast-paced environment.
  • Positive, friendly, and professional demeanor.
  • Attention to detail and strong problem-solving skills.

The Dental Office Manager is responsible for managing the daily operations of the dental practice, ensuring that all administrative and clinical tasks run smoothly and efficiently. This role requires a blend of leadership, customer service, and office management skills. The Office Manager will oversee patient care coordination, manage office staff, handle financial operations, and work closely with the dental team to ensure optimal patient care.

Key Responsibilities:

  • Oversee the day-to-day operations of the dental office, ensuring smooth and efficient workflow.
  • Work on Revenue Cycle Management and Insurances.
  • Supervise and lead office staff, including receptionists, dental assistants, and hygienists, providing guidance and support as needed.
  • Manage patient scheduling and ensure optimal office flow while minimizing patient wait times.
  • Handle patient billing, insurance verification, and payment processing, including managing insurance claims and following up on unpaid claims.
  • Implement and enforce office policies, ensuring compliance with health and safety regulations and industry standards.
  • Monitor and manage office budget, ordering supplies, and ensuring inventory levels are maintained.
  • Coordinate patient communications, including appointment reminders, confirmations, and follow-up care instructions.
  • Ensure accurate patient records are maintained and HIPAA regulations are followed.
  • Handle patient complaints and concerns, ensuring a positive patient experience.
  • Assist in recruiting, training, and evaluating staff performance.
  • Prepare reports for the dentist/owner regarding office performance, financials, and patient satisfaction.
  • Stay up-to-date on industry trends, best practices, and technology, making recommendations for office improvements.

Qualifications:

  • Proven experience as a Dental Office Manager or in a similar administrative role within a dental office.
  • Strong leadership and managerial skills, with the ability to motivate and guide a team.
  • Knowledge of dental terminology, procedures, and insurance plans.
  • Proficiency with dental office software (e.g., Dentrix, Eaglesoft, Open Dental) and general office tools (e.g., MS Office).
  • Excellent communication and interpersonal skills, with a customer-focused attitude.
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Ability to problem-solve and make decisions in high-pressure situations.
  • Understanding of HIPAA compliance and healthcare regulations.
  • High school diploma required; Associate's degree or equivalent in dental management, business administration, or related field is preferred.
