One Personal Training is seeking an enthusiastic and organised Administrative Executive / Front of House to be the welcoming face of our personal training facility. This position is vital to ensuring the smooth operation of our business by managing appointments, handling administrative tasks, and providing exceptional customer service. The Administrative Executive / Front of House will work closely with the sales team, assist with payroll, and maintain client records while upholding the highest standards of professionalism and cleanliness.
Key Responsibilities:
Scheduling Appointments:
- Schedule appointments with clients to initiate new personal training packages.
Sales Support:
- Assist Sales Representatives in scheduling consultations with potential clients.
- Follow up with leads and sign-ups to facilitate the sales process.
Social Media Engagement:
- Follow up with leads generated through social media platforms, particularly Instagram and Facebook.
Reporting:
- Prepare and send weekly performance reports to your mananger, highlighting key metrics.
- Generate and provide weekly session count reports, both as a company and by trainer, to your manager.
Data Management:
- Update and maintain systems and files with new client information.
- Assist with payroll processing at the end of each month.
Front Desk Management:
- Monitor the front desk, answer incoming calls, greet customers as they enter the gym, and respond to inquiries regarding our services.
- Process personal training packages and payments accurately and efficiently.
Client Services:
- Attend to basic customer service tasks, including answering phones, greeting clients by name, and checking them in.
- Update client records with new contact information and payment details.
- Maintain clients' session records and process fees as directed by management.
- Collect payments from clients for personal training services rendered.
Orientation and Communication:
- Explain gym policies and procedures to new clients, helping them become familiar with the facility.
Facility Maintenance:
- Maintain the cleanliness of the front desk area, including regular cleaning and maintenance.
Record Keeping:
- Record and keep clear and accurate records of all queries, complaints, lost property, and repairs. Ensure the information is delegated to and resolved by the relevant department.
Other Duties:
- Undertake other professional tasks as directed by Managers, commensurate with the role's responsibilities.
Qualifications:
- High school diploma or equivalent; additional education or training is a plus.
- Previous experience in administration or customer service roles is preferred.
- Strong communication and interpersonal skills.
- Proficiency in using office software and basic computer systems.
- Ability to maintain a welcoming and professional appearance and demeanour.
- Highly organised with strong attention to detail.
- Ability to handle multiple tasks and prioritise effectively.
- Knowledge of gym and fitness centre operations is a plus.
