Job Title: Executive Assistant to the CEO

Location: Santa Barbara

Job Type: 32-40 hours per week

One805 is a local nonprofit organization dedicated to supporting our first responders by providing needed equipment and wellness counseling services. We take care of those who take care of us. Our team is passionate, driven, and committed to making a difference.


Job Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO. The ideal candidate will be a strategic thinker with excellent administrative and communication skills, capable of managing multiple priorities in a fast-paced nonprofit environment. This role requires discretion, professionalism, and the ability to anticipate the needs of the CEO while handling day-to-day operations efficiently.


Key Responsibilities:

  • Manage the CEO’s calendar, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders on behalf of the CEO.
  • Prepare reports, presentations, and correspondence as needed.
  • Handle confidential information with discretion.
  • Support board meetings, including scheduling, preparing agendas, taking minutes, and follow-ups.
  • Coordinate and facilitate communication between departments and external partners.
  • Assist with fundraising efforts, donor relations, and special events as needed.
  • Conduct research and compile data for key initiatives and projects.
  • Perform general administrative tasks such as managing emails, phone calls, and office operations.


Qualifications & Skills:

  • Bachelor’s degree or equivalent work experience preferred.
  • Minimum of 3-5 years of experience in an executive support role, ideally within a nonprofit or mission-driven organization.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, Donor Perfect, and project management tools. Cava is a plus!
  • Ability to work independently while also collaborating with a team.
  • High level of professionalism, discretion, and integrity.
  • Passion for One805’s mission and the nonprofit sector.
