Job Overview
The Executive Assistant to the CEO serves as a vital partner in the executive leadership team, providing comprehensive administrative support to ensure the efficient operation of the CEO’s office. This role entails managing the CEO’s calendar, coordinating and attending meetings, and facilitating communication with stakeholders at all levels. The ideal candidate will possess exceptional organizational skills, the ability to maintain confidentiality, be highly motivated, and who can take initiative and independently identify tasks to complete without requiring constant supervision. The Executive Assistant will also serve as a representative of the CEO, embodying the company’s values and culture in all interactions.
Duties
Calendar Management:
- Manage and optimize the CEO’s complex social and professional calendars by scheduling meetings, prioritizing urgent requests, and ensuring that all commitments are met in a timely manner.
- Coordinate travel arrangements, including itineraries, accommodations, and local transportation.
Meeting Coordination:
- Prepare agendas, materials, and presentations for meetings and ensure that all necessary information is collected beforehand.
Communication Support:
- Serve as the primary point of contact for internal and external communications on behalf of the CEO, responding to inquiries and directing them appropriately.
- Draft, proofread, and edit correspondence, presentations, and reports as requested by the CEO.
Relationship Management:
- Build and maintain positive relationships with internal and external stakeholders.
- Participate in events and gatherings that promote team building and company culture.
- Serve as liaison between the CEO and vendors the CEO utilizes.
Qualifications:
- Proficiency in Google Suite applications (Docs, Sheets, Calendar), and familiarity with project management software.
- Excellent calendar management abilities to optimize the CEO's time effectively.
- Exceptional organizational and presentational abilities.
- Ability to work independently, prioritize tasks, and handle multiple projects simultaneously
- High level of professionalism, integrity, and attention to detail.
Education and Experience:
- Minimum of 5 years of experience as an Executive Assistant or in a similar role, directly reporting to C-level executives.
- Bachelor’s degree Business Administration, Management, or related field preferred.
Compensation & Benefits
- This is a full time position, largely remote, but may occasionally require on-site presence at the CEO’s residence or for running errands as needed.
