Summary :
Provide accounting support to Grant Accounting Managers by completing high level tasks / projects that encompass all grants, review staff work for accuracy, ensure financial data is in compliance with grant regulations and primary resource for gathering data / selections for annual audit. May be assigned grants and serve as main financial contact for those grants.
Responsibilities :
- Complete complex detail-oriented tasks including (list is not all inclusive) : grant-wide allocation entries, new grant set up in grant financial system, system security set up for electronic monthly financial report viewing, grant fixed asset inventories, assist with sign off authority process, financial system upgrades, preliminary work on Indirect Cost Proposal, drafting Statement of Federal Expenditures and Single Audit.
- Interpret grant award letters and identify key grant components : grant award amount, budget period, allowable / unallowable expenses, budgeted line items, reporting requirements, matching requirements, close out requirements, etc.
- Review, approve and post grant accounting entries within the financial system modules to include journal entries, Accounts Receivable entries, and Accounts Payable entries.
- Perform allocation entries for all grants.
- Prep monthly reports to assist with requesting grant funds from agencies.
- Primary resource on generating grant audit reports and gathering data selections for external audits on annual basis.
- Establish a working knowledge of the Accounting financial software including, but not limited to : General Ledger, Accounts Payable, Accounts Receivable, Payroll, Purchase Management, Fixed Assets, Intra-tribal, Grant Tracking software and Report Writer software.
- Oversee the accounting functions for several federal and state grants managed / operated by Grant Program Directors who provide services to the Oneida community.
- Perform post-award grant accounting functions, including budget and expense analysis, financial reporting, monitoring time and effort reporting and grant closeouts
- Assist Grant Program Directors with grant applications, budget preparation, financial processes, interpretation of financial results, and financial system navigation
- Maintain grant award documentation
- Navigate through grant agency electronic systems to research grant regulations, submit financial reports to external grant agencies and monitor financial activity
- Verify financial information is complete, accurate, and in compliance with applicable federal, state and Tribal accounting policies and procedures
- Calculate, code and / or enter transactions into various Accounting financial system software modules; reconcile general ledger accounts.
- Generate timely and accurate financial reports for business units, external agencies, and department management.
- Work cooperatively with internal and external auditors
- Create, maintain, and update Standard Operating Procedures; perform periodic review of procedures; make recommendations for improvement.
- Communicate professionally to establish and maintain working relationships with staff, Grant Program Directors and management.
- Maintain professional and technical knowledge by conducting research, attending seminars / webinars, educational workshops, classes, and conferences.
- Collaboratively participate in staff meetings and act as a mentor to Accounting Assistants and Accountants.
