Summary
We are seeking a highly organized and proactive Operations Assistant to support the efficient and smooth running of our offices and fleet operations. The ideal candidate will be responsible for performing a variety of operational tasks, from inventory management and office maintenance to vehicle care and supporting the team in event organizing. This position requires strong communication skills, the ability to multitask, and a keen eye for detail.
Responsibilities
- Assist in daily operations by performing administrative tasks such as data entry and clerical duties.
- Manage schedules and coordinate meetings using Google Suite and Outlook Calendar.
- Provide exceptional customer service by responding to inquiries and assisting team members as needed.
- Organize files and maintain accurate records to support operational efficiency.
- Support executive staff with administrative tasks as required.
- Collaborate with team members to ensure effective communication and workflow.
Requirements
- Key Responsibilities:
Inventory Management:
- Conduct inventory checks of office supplies, kitchen needs, and sanitation items once a week for each office.
Office Maintenance:
- Research, contact, and obtain quotes for services required for office maintenance (e.g., plumbing, repairs, etc.).
- Make appointments or arrangements for maintenance services.
- Report any issues related to office maintenance to the manager and connect with the landlord as needed.
- Assist in assembling furniture.
Event Support:
- Assist teams in organizing office events, ensuring that logistics, supplies, and equipment are available and in good condition.
Fleet Operations:
- Take the company car to the car wash once a week and ensure it is well-maintained.
- Schedule and manage service appointments for the company car.
- Check the vehicle before and after each use for any issues, report findings to the Fleet Operations Coordinator.
- Address any maintenance concerns or issues regarding the car in a timely manner.
- Request and collect drivers' license information (photo of the driver's license) from new employees who will be using the company car for insurance purposes.
- Provide new drivers with instructions on how to use the company gas card properly.
Additional Responsibilities:
- Update the auto statistic form as required to track vehicle usage and maintenance.
- Act as a liaison between the office and the landlord for operational needs or concerns.
- Inform your manager of any operational requests or issues and provide necessary support.
- Send requests to the procurement team for orders when inventory is low or replenishment is required.
- Set up devices for new hires, update device information in the inventory, and check if all devices are returned when an employee quits their job.
Requirements:
- Proven experience in office administration or operations support.
- Strong communication skills with the ability to coordinate between different teams.
- Highly organized with an attention to detail.
- Ability to prioritize tasks and manage time effectively.
- Comfortable making calls, arranging appointments, and coordinating services.
- Ability to assist with light maintenance tasks or furniture assembly.
- Familiarity with vehicle care and maintenance processes is a plus.
- Ability to manage confidential information, such as drivers' licenses, with discretion.
