We have an immediate need for a career minded individual to join our highly driven Sales & Customer Success team. The Sales Support Coordinator is an enabler to our Sales Executives, responsible for multiple administrative and executive support tasks that will free up our Sales Executives to be focused on protecting and growing profitable sales and finding new business opportunities. This position reports to the head of Customer Success and is based out of our Creative Center in Hackensack, N.J. Some remote work may be possible, but in the beginning you will need to be on-site full-time.
Essential Responsibilities will include but are not limited to :
- Enter projects as needed for assigned sales executives to ProCis ensuring all data accuracy, includes receiving projects from the Sales Executive or customer, entering time-lines, participants, resource teams & potentials based on internal procedures.
- Act as liaison for assigned sales executive, internal teams, and with key accounts, ensuring strong communication.
- Effectively field customer inquiries and requests, follow internal procedures, and facilitate the flow of information to support projects conversion to new wins.
- Provide coverage and support for sales team members when they are out on vacation or required business travel
- Contribute to the coordination of briefs with internal creative team, Evaluators, Technical, and Perfumers when necessary, to ensure that all projects are running efficiently and communicate any issues with the sales executive
- Prepare data in excel and reports for Sales Team, coordinating with Customer Service as needed, by extracting data from the SYSTEMS (SFDC, Trifoil, and NetSuite) and downloading to excel or other appropriate format.
- Ensure proficiency in the use of internal systems in order to effectively support internal & client requests in a timely manner.
- Support the Sales team in managing sales contracts, ensuring entry, updates and expiration dates are accurately and timely.
- Ensure that base and market products required for briefs are requested and obtained on time.
- Support Evaluation, Sensory, Technical, & Marketing in preparation of final client presentations.
- Schedule and prepare visitor agendas and arrange client meetings, as needed
- Interact with the Customer Service team and the Sample Shipment team to resolve issues
- Perform other duties as assigned.
