Looking for a Full Time Front Desk Administrative Personnel to join a fast-paced high volume medical office.
POSITION SUMMARY : The Front Desk Administrative position is responsible for scheduling and interacting with patients via telephone and email, also performs a range of duties which includes gathering required information in preparation for the patients appointment. This position is primarily responsible for acting as the first point of contact for all patients in a high traffic medical office. Duties include phone management of a multi-line VolP phone system. You will be responsible for answering the calls from our patients and other healthcare workers. Triaging patients - asking the appropriate questions to form a general idea of the patients current conditions and reporting back to providers. Responsible for scheduling and confirming appointments. Ability to use electronic health record (Athena), to coordinate patient files with up-to-date medications, background, and conditions.
RESPONSIBILITIES & DUTIES :
Manages large volumes of inbound and outbound calls in a timely manner; always identifying self and clinic.
Provides assistance to patients and other medical personnel contacting the clinic by telephone; may provide direct assistance or take messages and direct calls to the appropriate party.
Completes initial registration information of new patients following established policies and procedures.
Updates any changes of patients information in computer database and scans updated paperwork into Electronic Health Record (EHR) under correct tabs, including documenting phone notes when appropriate.
Identify patients and other customers needs, clarify information, triage when appropriate, and provide solutions and / or alternatives.
Navigate through patients chart in the EHR to locate appropriate information.
Maintains daily EHR worklist.
Verifies coverage under insurance, Medicare / Medicaid, private insurance, and other federal / state programs.
Verifies pharmacy information and other clinical information related to a patients visit.
Documents notes in computer regarding failed appointment notice, or additional conversations.
Monitors automatic call reminder system; making sure that cancellations are identified and reconciled with the schedule.
Manually reminds patients of appointments when the automatic call reminder system is unable to do so.
Other duties as assigned by supervisor.
QUALIFICATIONS & SKILLS :
MUST hold a MA or CNA licensure. Will consider work experience in place of licensure.
Minimum of 2 year of relevant experience and / or training, or equivalent combination of education and experience in a medical receptionist / customer service role.
Knowledge of multi-line phone system.
Proficient in computers and relevant software applications and practice management technology including electronic recordkeeping.
Knowledge of customer service principles and practices.
Demonstrated initiative and strong organizational skills.
Exceptional interpersonal communication skills with a positive tone and welcoming attitude.
Ability to work independently on assigned tasks as well as to accept direction on given assignments.
Deals with confidential information and / or issues using discretion and judgment.
Have a quiet environment with no distractions for the entire shift
Plus if you have prior Chronic Care Management experience
Must have home WiFi. Computer supplied.
