Job Title: Executive Assistant to President & CEO

Location: Dallas, TX (On-site)
Hours: Monday Thursday, 8:00 AM 5:00 PM; Friday, 7:00 AM 4:00 PM (with occasional nights and weekends)
Compensation: $65,000 - $85,000 annually

Position Overview:
The Executive Assistant will serve as the strategic administrative partner to the President & CEO, overseeing the day-to-day management of business, community, and personal affairs to ensure smooth operations across multiple business units. This is a high-visibility role that requires the ability to manage complex scheduling, travel coordination, and communication while maintaining confidentiality and discretion. The position offers an excellent opportunity to learn about and contribute to various facets of our business operations.
Key Responsibilities:
- Executive Support: Serve as the primary point of contact for the President & CEO, managing daily business and personal tasks with professionalism and efficiency.
- Calendar Management: Strategically organize and prioritize the President & CEOs schedule, ensuring effective time management for meetings, appointments, and other commitments.
- Travel Coordination: Handle all aspects of travel planning, including booking flights, accommodations, transportation, and providing travel itineraries.
- Correspondence Management: Review and prioritize incoming communications (mail, phone calls, emails) on behalf of the President & CEO; draft, proofread, and manage correspondence with stakeholders such as board members, executives, clients, and business leaders.
- Meeting Preparation: Prepare the President & CEO for meetings by gathering and organizing relevant materials, ensuring readiness for internal and external engagements.
- Document Management: Maintain and organize business and personal files, ensuring accurate recordkeeping and document retrieval.
- Project and Task Management: Take initiative to manage various projects, ensuring timely completion of tasks and a high level of accuracy in all administrative duties.
- Support for Board Activities: Assist with organizing and preparing materials for Board meetings and related activities.
- Office Support: Provide backup support to the office Administrative Assistant when needed.
- Additional Duties: Offer personal support to the President & CEO as required, with tasks varying based on business needs.
Qualifications:
- Education: Bachelors degree preferred.
- Experience: Minimum of 5 years experience in a fast-paced, high-demand environment, ideally supporting senior executives.
- Skills and Abilities:
- Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
- Exceptional attention to detail and accuracy, particularly in high-pressure situations.
- Excellent verbal and written communication skills.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to type at least 50 words per minute and pass a timed typing test.
- Proven experience in managing confidential information with discretion and professionalism.
- Strong intellectual curiosity with a continuous desire to learn and grow.
- Ability to handle multiple tasks at once, with a proactive approach to problem-solving.
- Strong leadership or customer service experience is a plus.
Preferred Qualifications (Not Required):
- Experience as a notary public or willingness to obtain certification.
- Background in real estate assistance or familiarity with industry processes.
Additional Requirements:
- Must pass an advanced skills assessment, which includes tests on computer knowledge, logic and reasoning, proofreading, filing, PowerPoint, Excel, and Word.
- Must be available for occasional evening and weekend work as required.
