Ontario Refrigeration operates from 10 locations in the Western United States, and has a 65 year track record of service excellence.
Job Summary:
The successful candidate will bring strong organizational, analytical, and communication skills, while working closely with the Controller to meet company objectives. As a key member of the Accounting Team this position is responsible for supervising the accounts receivable process which includes ensuring timely payments from our commercial customers, monitoring and tracking payment status, and working with management on legal issues. This position requires strong written and verbal communication skills, and excellent phone skills. Communication with commercial customers to coordinate payments and resolving issues with customers are key responsibilities of this position.
Responsibilities:
- Lead and manage the daily operations of the Accounts Receivable and Collections teams, ensuring timely and accurate processing of receivables.
- Manage AR collection process including contacting difficult customers, investigating circumstances of non-payment, negotiating and resolving conflicts, and expediting payments from customers.
- Oversee cash application, unapplied cash resolutions, and chargeback follow-ups to maintain the integrity of A/R records.
- Review and approve credit memos, adjustments, reconciliations, and write-offs, ensuring all are in line with company policies and procedures.
- Regular interaction with senior management regarding issues and strategies for collections.
- Review Accounts Receivable aging reports on weekly basis and work with A/R team on past due collections
- Responsible for approving and preparing Final Demand letters
- Preparing and attending small claims court for uncollected debt
- Represents the company at creditor’s meetings and bankruptcy proceedings of customers
- Supervise procedures related to use of collateral, lien instruments, UCC-1s filings
- Filing of mechanics liens for jobs that have lien right issues
- Supervision of staff
Knowledge, Skills, and Abilities:
- 10 years of experience in Accounts Receivable with at least 2 years in a supervisory role.
- Strong knowledge of accounting principles and A/R processes, including reconciliations, collections, and cash applications.
- Knowledge of lien laws and small claims
- Proficient with MS Office
- Excellent analytical, problem-solving, and communication skills.
- Ability to thrive under pressure, balancing competing priorities while maintaining high-quality standards.
- Ability to multitask, think strategically, problem solve and collaborate with team members
- Highly motivated and results-focused.
