Position Summary:
The Administrative Assistant/Business Office Clerk is responsible for processing and reconciling accounts, recording transactions, and generating various appropriate reports.
Essential Functions
- Research and verify bills from vendors and see that purchase orders and all necessary approvals are attached.
- Code bills based upon the OAC Chart of Accounts; obtain approval of the Executive Director and mail to the Central Support Office on a timely basis.
- Maintain Purchase orders.
- Maintain check out of charge cards and assist with the collection of receipts.
- Respond to client insurance claims and SSA benefit forms.
- Maintain client information (such as insurance coverage).
- Deposit funds to petty cash and resident accounts as needed.
- Assist with petty cash and client trust funds and report any situations to the Business Services Director if proper purchasing procedures are not being followed.
- At month’s end, gather all information for accruing expenses in the proper month.
- Update informational spreadsheets (utilities/small equipment) every month.
- Serve as the primary backup for front desk tasks.
- Assist in purchasing for the operation.
- Perform other duties as assigned
Education, Training, and Experience
- Must have a High School diploma or equivalent with excellent computer skills.
- Great Plains background preferred.
- Proven administrative and organizational skills with a minimum of 2 years of Accounts Payable experience in a similar role.
- A valid Tennessee driver’s license
- Proven organizational and interpersonal skills; must have proven confidentiality. Ability to work independently, set priorities, and handle multiple tasks with concentration, speed and accuracy to meet deadlines.
- Good oral, written, and interpersonal skills to effectively interact with internal and external customers
- Commitment to providing excellent service to clients; ability to remain calm and courteous when handling difficult requests
- Ability to maintain confidentiality regarding all documents and communications
- Ability to interpret and follow oral documented procedures, instructions, laws and policies
- Ability to project a positive and professional image on behalf of the organization
- Must be an effective team member
- Ability to prioritize and manage time effectively
- Ability to independently make decisions
- Physical environment – ability to lift a minimum of 50 pounds; tasks may include lifting, repositioning, turning, bending, squatting, etc.

- Repetitive hand movements; tasks may include but are not limited to, long periods of typing or writing, light lifting, bending, squatting, etc.
- Ability to sit or stand for long periods of time.
