Open Door is seeking a full-time Manager of Volunteer Services. The Manager of Volunteer Services will manage the day-to-day volunteer activities of the organization and affiliates, as well as coordinate holiday volunteer programs. Through much of the year this position is 50% in the office and 50% on site with volunteers. During the holidays, more time is spent at the health centers and managing the in-kind donations. This position reports to the Senior Manager, Volunteer Services and will be based from our Administrative Office in Tarrytown, NY.
RESPONSIBILITIES
- In conjunction with the Senior Manager, Volunteer Services and program staff, identify and develop volunteer opportunities to support organization goals and objectives
- Post and publicize volunteer opportunities
- Coordinate volunteers to support program areas including but not limited to early childhood education and support programs, youth programs, wellness programs, senior services, holiday activities including the annual toy drive, student intern programs, and administrative support tasks in health centers and on administrative teams including HR and IT
- Maintain the volunteer services database (Volunteer and Local), updating application status and volunteers’ hours as well as posting current volunteer opportunities and managing volunteer sign up calendar
- Assist in planning and coordination of corporate volunteer events
- Assist in volunteer recruitment, interviews, and placement – both for on-going and singular activities
- Oversee the process of obtaining clearance for all volunteers including completion of application forms, background checks, and medical clearance in conjunction with the Human Resources Department
- Collaborate with Human Resources to recruit, on-board, train, and manage college and summer interns
- Monitor daily volunteer interest emails received from prospective interns
- Register for community outreach events and coordinated coverage with our Outreach Team
- Assist with the implementation of volunteer and intern orientation trainings, and meetings as needed
- Support the design of formal or informal activities to recognize the contributions of volunteers to the organization
- Facilitate planning and implantation of volunteer in-kind donation drives and coordinate pick-up and delivery of items
- Organize service projects
- Communicate regularly with Senior Manager, Volunteer Services
- Compile data and stories for monthly board reports regarding volunteer activities
- Establish and maintain community partnerships
- Photograph and provide content for all volunteer activities for social media and monthly donor newsletters
- Maintain consistent engagement and communication with volunteers to create a feeling of belonging towards the goal of a long-term relationship
- Visit sites hosting volunteer activities
- Coordinate in-kind reporting with program staff
- Perform other duties as assigned
REQUIREMENTS
- EDUCATION: Bachelor’s degree required
- Minimum two years’ work experience in Volunteer Management or a national service program
- Commitment to the mission of Open Door and affiliates
- Ability to perform the role independently, accurately, reliably, and in a timely manner, including managing multiple projects simultaneously
- Excellent verbal and written communication skills
- Strong interpersonal skills
- Strong organizational skills
- Demonstrates confidentiality and good judgment with volunteer and donor relations.
- Possesses ability to manage conflict
- Strong computer skills, including accurate data entry
PHYSICAL REQUIREMENTS
- Requires approximately 50% walking/standing and 50% sitting
- Lifting boxes up to 50 lbs. required
