Job Overview
We are seeking a highly organized and proactive Director's Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the office and supporting the Director in various capacities.
Responsibilities
- Provide executive administrative support, including managing schedules, coordinating clinical activities, grants managing and bookkeeping.
- Maintain and organize office files, ensuring all documents are accurate and up-to-date.
- Utilize Google Suite and Outlook Calendar for scheduling and communication purposes.
- Proofread documents for accuracy and clarity before distribution.
- Assist with clerical tasks such as ensuring appropriate data entry, filing, and maintaining office supplies.
- Collaborate with other departments to facilitate communication and project coordination.
- Prepare reports and presentations as needed for meetings or special projects.
Qualifications
- College graduate with a degree from a four-year institution and a minimum of 3 years’ experience in Non-Profit grants managing/medical/health center operations required.
- Familiar with outpatient health care settings, confidentiality, patients of various demographic backgrounds, personnel and resources management and medical education.
- Interest and understanding of community needs, access to medical care issues, grant writing/grants managing, and medical education &/or experience in the ambulatory setting required.
- Proven experience in an office management or administrative support role, preferably in an executive setting.
- Proficiency in Microsoft applications (Word, Excell, Power Point) and Microsoft Outlook Calendar.
- Athena Health EMR System
- Strong proofreading skills with a keen eye for detail.
- Familiarity with electronic medical records systems and clerical duties.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Ability to work independently as well as part of a team in a fast-paced environment.
