Job Summary:
Open Doors for Multicultural Families (ODMF) is growing and we’re hiring an Accounts Payable Clerk (Temp, 1-3 months expected) to be a part of our finance and accounting team. This position will be responsible for maintaining all expenses, including entering all transactions, reconciling results, and keeping a filing system for all transactions.
Work Location and Schedule:
- Hybrid remote work with a minimum of 1 day in the Kent office.
- Ability to commute/relocate in Kent, WA 98032. Reliability to commute or planning to relocate before starting work is required.
RESPONSIBILITIES:
- Process check requests and expense report reimbursements on a regular basis
- Maintain accounts payable and records of disbursements and all expenses. Obtaining corresponding approval for all payments.
- Ensure procurement and financial policies to are being followed by staff when purchases are necessary.
- Print weekly and as needed Accounts Payable check requests; drive checks to ED to get signatures as needed
- Track prepaid insurance and property records maintenance
- Monitoring vendor accounts to ensure signed paperwork is received as needed (W-9 Forms, Subcontractor agreements) and that payments are applied accurately and timely
- Preparation of monitoring documents requested by our funders, annual audit required documents and work with auditors to complete financial audits as requested by accounting manager
- Scan all receipts and reconcile monthly credit card statements
- Assisting with the monthly and annual Accounts Payable close processes
- Prepare and issue yearly 1099 tax statements for vendors
- Assist with monthly reporting needed for grant invoicing
- Track expenses for each program separately
- Maintains confidentiality of information
- Respond to internal and external inquiries regarding billing statements from vendors
QUALIFICATIONS:
- Ability to fulfill all responsibilities listed above
- A minimum of 2 years working experiences preferably in Nonprofit organizations
- Working experience with government grants, cost allocation formula, contracts, budgets, foundation and other nonprofit related funds preferred
- Ability to use independent judgment to perform advanced and specialized accounting assignments
- Ability to work independently to record and document accurately
- Strong organizational and time management skills
- Knowledge and skills operating QuickBooks, including using the Class function
- Proficient in data entry, ten key entry, and Microsoft Office applications, especially MS Excel
- Strong verbal and written English communication skills; second language proficiency a plus
- Track record of respect for others’ experiences, opinions, language, values, culture, and knowledge
- Demonstrated commitment to teamwork and collaboration
- Have a car to drive for work purposes and a valid WA state driver’s license and vehicle insurance
- Ability to pass DSHS criminal background check per RCW 43.43.830 at the offer stage of the hiring process
