The Purpose:
As an Event Coordinator you will be joining an industry-leading team that provides the highest quality event logistics, hospitality, and live event production services for a Fortune 100 automotive client. You should be able to function independently and collaborate within a small cross-functional team (60% group) and be able to embrace the passionate, professional, interactive, and fun culture that Czarnowski fosters. Uniquely positioned within our client’s offices in New Jersey, you will provide on-going day-to-day support direct to our client team.
The Job:
In this unique role, you will support both the Czarnowski Account Team and our client partner. Supporting the day-to-day responsibilities associated with 15 internal and external events annually. This role will primarily support corporate communications and media focused initiatives.
- Client Services: Engage in regular, two-way communication with clients to determine event needs, propose solutions, offer support as needed.
- Partner and Supplier Relationship Management: Act as a center-point between client, and internal teams to provide direction and drive successful event planning and execution with all partners and vendors.
- Meeting Coordination: Support client with internal and external meeting preparation. Emphasis on meeting scheduling, organizing agendas, presentation management and creation (as needed), meeting moderation and post meeting follow-ups.
- Timeline Discipline: Develop, maintain, and actively manage event specific timelines including on-site specifications documents.
- Event Execution and Production:
- Under the direction of our client partner, provide support and coordinator over event execution.
- Coordinate with internal Czarnowski stakeholders to inform event layout, creative, collateral, and overall guest experience.
- Act as a representative of the account team during site visits, client meetings, and event execution.
- Understand clients’ business model and processes to effectively drive program-oriented solutions.
- Support Senior Account Director and Account Executive with miscellaneous projects or duties at the request of clients.
The Person:
- Understand, enforce and improve various processes and procedures.
- Strong written and verbal communication and presentation skills.
- Ability to work on multiple projects at the same time, prioritize and multi-task.
- Ability to work under pressure and within deadlines.
- Ability to show initiative and take over responsibility.
- Bachelor’s degree in business administration, marketing or equivalent.
- 3 years of event experience preferred.
- Strong knowledge and skillset working with MS Office Tools (Word, Outlook, PowerPoint, Excel, Teams.
- Ability to lift up to 50 pounds of office material.
- Willingness and ability to travel (25-35%) and work extended hours as necessary.
