Program Operations Associate. New York. Posting Date: 05/04/2023. Deadline: 05/18/2023 As a Program Operations Associate you will: Work closely with colleagues on various administrative and operational tasks and projects; Support the grant making process, communicate with grantees on the proposal submission process, assist with grant record preparation and ensure efficient flow of grants processing, payments, reporting and other related processes Serve as knowledge base for OSF policies and procedures and assist staff with understanding, operationalizing, and adhering to relevant policies and guidelines Process and oversee progress of consultant contracts Provide initial reviews for concept notes, proposals, and grantee reports Assist with data collection and monitoring, knowledge management, materials preparation, developing templates and other tools for program’s purposes Support senior staff in the OSUN unit with regular engagement with grantees Assist with meetings and events planning and managing related travel, logistics, and budgets. Take on other discrete or time-bound projects as needed What we are looking for: • 3-5 years of experience supporting operations, preferably in civil society, philanthropic organizations or universities • Strong administrative and organizational skills • Quick learner who is enthusiastic about operations and administrative work and will seek to enrich their knowledge and skill set through in-house trainings and professional development opportunities • Strong attention to detail, ability to handle multiple tasks at once with a high degree of autonomy and self-motivation • Experience working with budgets, database management and materials preparation. • Experience with organizing meetings and events, including logistics and liaising with vendors • Good judgment, decision-making ability, and discretion, especially regarding the handling of sensitive and confidential information • Excellent written and spoken communication skills • Ability to build and maintain relationships with a wide range of people from diverse backgrounds within a complex organization • Professional or personal experience with international and cross-cultural contexts • Savviness with technology, including video conference systems, online collaboration tools, secure digital communication, and Microsoft Office Suite.
