Work Environment:
The work environment is similar to that of other receptionist positions, which requires a high level of professionalism and a positive attitude. You will be working in the front office of our establishment and be the first face our customers see. It will be a busy environment with people frequently coming and going.
Duties & Responsibilities:
- Greet and assist customers in a timely, friendly, and professional manner.
- Answer telephones, direct calls, take messages and respond to emails.
- Schedule appointments
- Facilitate Rental Car Shuttle pickups and drop offs
- Receive and issue a receipt for check and credit card payments
- Ensure that work areas and customer waiting areas are kept clean.
- Assist accounting with billing, with invoicing, credit, accounts payable and accounts receivable functions with daily back up support.
- Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
- Communicate with customers, employees, and other individuals to answer questions, disseminate, or explain information.
- Inventory and order office supplies weekly.
- Deliver messages internally and run errands as needed.
- Working with multiple software systems daily depending on the tasks.
- Help managers with jobs as needed.
Qualifications/Experience:
- Positive - Takes Initiative
- Organizational skills are key in this role
- 2 or more years’ experience working as a receptionist/office assistant/accounting coordinator
- Strong computer skills and highly proficient with MS Office Suite and able to navigate between other software systems depending on tasks
- Previous experience working in the collision industry is a plus
- Attention to detail
- Team player with an energetic personality and great customer service attitude
- Must be 18 years or older
- Spanish speaker a plus
