REPORTING RELATIONSHIP: Reports to the Senior Manager of Facilities & IT
POSITION OVERVIEW: The Facilities Manager maintains and oversees the grounds, physical buildings, equipment, mechanical, electrical, and HVAC systems to ensure that a workspace is safe and functional. Their duties include coordinating renovations and building updates, negotiating contracts with service providers, inspecting facilities to meet safety regulations. This role also oversees purchasing for the shelter as well as managing utilities. It manages budget and capital expenditure projects.
POSITION RESPONSIBILITIES:
The Facilities Manager performs maintenance, safety, and management tasks that promote a clean and safe working environment for the building’s employees, including:
Performs routine maintenance on facilities equipment and making repairs as needed.
Delegates cleaning, janitorial and maintenance tasks to team members.
Monitors the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces.
Schedules routine inspections and emergency repairs with outside vendors.
Ensures proper security measures for the workplace, including security cameras, access control, building access, etc.
Maintains day-to-day operations of facilities, such as delegating or completing maintenance orders.
Creates reports on maintenance, repairs, safety and other occurrences for managers and other relevant staff.
Prepares facilities for changing weather conditions.
Collaborates with upper management on budgeting for facility’s needs and utilities.
Maintains maintenance records and SOP’s.
Coordinates and manages moves, adds, and change activities for staff throughout the shelter.
Oversees purchasing & receiving for Operation Kindness via Purchasing Coordinator.
Manages vendor relationships and trains vendors on work order and billing procedures.
Main and initial contact for any issues, requests, or improvements for shelter.
Create maintenance contracts and oversee performance of the same.
Establishes best practice standards including developing policies, procedures, and workflows.
Maintains uninterrupted operations by coordinating provision and backup of supplied utilities.
Maintains Service Ticket Request, Preventative Maintenance, and Purchase Order systems
Supervisory Responsibilities
Provides formal supervision to individual employees with single function or operational area (currently a team of 4).
Recommends staff recruitment, selection, promotion, advancement, corrective action, and termination.
General Responsibilities
Reports suspicion of animal abuse or neglect to any Manager or above immediately.
Reports any unsafe working conditions to any Manager or above immediately.
Maintains client, donor, volunteer, and staff confidentiality at all times.
Follows SOPs and other safety regulations at all times.
Completes all necessary and requested training in a timely manner in accordance with shelter policy.
Attends staff meetings.
Participates in shelter events as requested by Supervisor.
Performs other duties as requested or assigned.
POSITION REQUIREMENTS:
Minimum of 5 years maintenance experience.
Minimum of 2 years supervisory or management experience in facilities management, property management, or related field preferred.
Knowledge of relevant health, safety, and environmental regulations.
Strong organizational and analytical skills.
Reasoning skills – able to comprehend, analyze and interpret complex documents.
Ability to analyze and solve problems effectively.
Proficient in Microsoft Office Suite (Word, Excel, etc.), Outlook, and internet navigation.
Strong knowledge of building systems, including HVAC, electrical, plumbing, and safety protocols.
Working knowledge of leases, contracts, and related documents.
Must have knowledge of various mechanical, electrical, and plumbing (MEP) systems.
Ability to read and interpret blueprints.

Compensation
Position is regular, full-time and salary, exempt.
Compensation varies depending on experience.
