What are the responsibilities and job description for the Charter School Director of Operations position at Operations Agency?
We are an agency interviewing candidates for two positions: a Director of Operations position at a charter school in the Bronx. We are seeking candidates with past Director of Operations experience. The following is a list of responsibilities for this role:
Student Records
- Supervise Administrative Assistants
- Maintains and updates student information using state, district and school database
- Ensures that student information is accurate and filed as required by state law
- Coordinates academic data entry by teachers for report cards
- Manages/tracks attendance and lateness of students
Student Enrollment
- Manages student recruitment process, including outreach and tours for parents
- Ensures student enrollment is at the correct student count
- Maintains student waiting list according to state law, receives and organizes applications
- Ensures new student lottery is run in compliance with law, works with office manager to document that process is followed by impartial party (auditor, board member)
- Work closely with other schools on the transfer of credit and related issues for students coming from or returning to those schools
Food Services
- Manages school nutrition program, including staff and vendor, for breakfast, lunch and/or snack, as applicable
- Ensures that parents complete forms to determine price of meals, free, reduced or full price
- Communicates meal cost percentages to business leader for inclusion in appropriate funding streams – Title 1, E-Rate
- Ensures and tracks meal distribution
- Coordinates with Principal to ensure adequate staff coverage of cafeteria
- Reports meal counts for reimbursement by appropriate State authorities
- Ensures compliance with Department of Health food service standards
- Coordinates Field-trips with teachers, parents and makes applicable arrangements for meals (brown bag lunches)
Transportation
- Manages student transportation by bus and other modes, for arrival, dismissal and field trips
- Coordinates process of late passes and any other authorized student movement within building
Facilities
- Coordinate school safety and facility inspection
- Facilities coordination, e.g. cafeteria, nurse, security and custodian
- Manage lease/purchase negotiations, maintenance and renovations
- Maintain system to address facility needs – lighting, repairs, emergency cleanup, etc.
- Set up employee mail boxes, room signs, hallway passes and emergency exits
- Manages move of school within or out of building, in collaboration with business manager, technology expert and administrative staff
- Supports long-term planning for use of permanent facility
- Schedules and logs fire drills in accordance with laws
- Collaborate with Principal to plan school safety and emergency planning, including facility inspection
- Manages aspects of facilities such as, lease/purchase negotiations, maintenance and renovations
Scheduling and Planning
- Schedules and coordinates coverage/substitutes, tracks sick leave, vacation and personal days and notifies Business managers and staff members to be docked
- Manages volunteers and temporary staff members; supports contingency planning for long-term (succession planning) with Business Manager
- Administers weekly staff communication for new information and upcoming events; maintains school calendar
School Programs
- Manages After School Program
- Coordinates field trips with teachers & parents and makes applicable arrangements for meals
- Coordinates sales of uniforms and school t-shirts
- Administers annual parent survey and attempts highest completion rate as possible, compiles statistics and files all surveys
- Distributes weekly memos to parents from school leader
Professional Development /Personal Growth
- Keep current with educational literature, ideas and practices
- Participate with Executive Director in developing and meeting the goals of an individualized professional development plan
- Attend professional development activities designed to enhance and/or strengthen knowledge, skills and attitudes that promote student learning
Classroom Culture
- Create positive, achievement-oriented and structured learning environment with high "joy-factor" so that students are excited about and invested in their academic excellence
- Set and reinforce clear expectations and routines that are aligned with the school's overall vision
- Discuss, celebrate, and reinforce character skills
- Embrace and use school culture systems
- Design classroom space to reinforce school values and culture with obvious, posted examples of outstanding academics and character
Minimum Experience and Qualifications
- Bachelor's Degree
- 2 years experience as an effective Director of Operations in a Charter School setting.
- Use of student information systems to report, track and monitor enrollment, attendance and ensure compliance and funding (e.g. ATS, PowerSchool)
- Familiarity with purchasing, procuring and inventorying a broad range of materials and resources.
- Assessing, vetting and engaging a variety of vendors (cleaning, food services, etc.)
- Comfort utilizing technology to communicate, track and organize work and information (e.g. Google Suite, documents, spreadsheets)
- Excellent interpersonal and communication skills
- Great time and task management; an ability to prioritize, manage multiple obligations and initiatives and follow through
- Strong systems-thinker, a capacity to envision, plan, and implement new/revised protocols and practices that streamline or improve school operations functions
- Ability to thrive in a fast-paced, results-oriented environment; flexible, able to work autonomously as well as on a team and to take direction as needed
- Strong attention to detail; able to develop and maintain organizational and documentation systems
- Strong analysis, negotiation and problem-solving skills
- A deep sense of ownership and responsibility
- The ability and commitment to lead and inspire a team that will ensure the health, safety and learning of all students and staff
- May assume other tasks and responsibilities as assigned by his/her/their designee
Job Type: Full-time
Pay: $95,000.00 - $120,000.00 per year
