QUALIFICATIONS:
- High School Diploma or GED.
- Three (3) years of secretarial experience, preferably in a public education environment.
- Demonstrated computer skills with experience in Microsoft Office suite/computer skills.
- Must possess strong organizational skills as well as the ability to handle multiple projects professionally.
- Proficient in general office management procedures.
- Communicate clearly and concisely in both written and oral form.
- Demonstrated ability to exercise independent judgment, prioritize tasks and work independently with a high degree of accuracy.
- Knowledge of financial records and budget process.
- Ability to be flexible and adaptable in a variety of situations.
- Bilingual proficiency (English/Spanish) preferred.

SALARY/PAYGRADE:
$38,963/CP-6
Salary Range (based on experience) as set by the Board of Trustees for the 2024-2025 school year.
ESSENTIAL FUNCTIONS:
- Provide administrative and organizational support to the Director, including managing schedules, coordinating meetings, and handling correspondence to ensure efficient operation of the office.
- Prepare & process departmental purchase orders.
- Process, track and assist all employees with FMLA/TD Leaves for department. Track and communicate monthly metrics.
- Responsible for the coordination & ensure completion of the department’s New Hire Asbestos Training. Work with Maintenance Department throughout the process.
- Serve as backup supporting the front desk receptionist with duties such as greet, assist and/or direct visitors, customers and vendors in a courteous and professional manner, and answer phone lines.
- Scan AFD’s, employee evaluations, and any other documents as needed.
- Answer and respond to incoming calls, take reliable messages and route to appropriate staff.
- Manage and process all office supply orders for the department.
- Assist in preparing 230/260-day work calendars on a yearly basis.
- Maintain department directories (Head Custodian contact list, school cluster list, office phone list) & provide updates on a monthly basis.
- Receive, distribute, and maintain years of service pins and information.
- Schedule, coordinate and prepare for special events and meetings specific to the department.
- Perform other duties as assigned.
- Regular and reliable attendance is an essential function of the job.
EQUIPMENT USED:
Multi-line phone system, personal computer and peripherals, printer, calculator, copier, shredder, and fax machine.
