How Will You Make a Difference?
- Conduct orientation scheduled for new employees, and orient new employees with firm’s policies and procedures. Answer employee questions and advise them regarding HR and general office issues, looping in or directing them to others as appropriate.
- Assist with preparing for new hires to join the office and coordinating logistics for departing employees.
- Coordinate Summer Firm Outing, Holiday Party, monthly socials, and miscellaneous office events, including Staff Appreciation Day. Work directly with Reception and Office Services to coordinate the events at department leadership’s direction.
- Receive, code, and forward invoices to accounting. Follow up with accounting regarding any problems with invoices. File copies of approved invoices in respective vendor folders as well as other miscellaneous filing.
- Maintain office procedures during absence of department leadership.
- Assist with office repairs, renovations, and facility-related projects, working directly with vendors or building staff as necessary.
- Communicate with vendors and brokers regarding certain aspects of running the office.
- Prepare and send internal and external written communication.
- Coordinate moves of personnel within the office, ensuring desk/office set-up standards are met.
- Work directly with managers/staff from all offices to coordinate their visits to the local office.
- Serve on committees, such as the Charitable Committee, as directed by department leadership. Responsible for meeting minutes and assisting with meeting coordination and related communications.
- Assist department leadership with special projects.
- Serve as back-up Operations Assistant, carrying out duties including answering office switchboard, greeting clients and guests, reserving conference rooms, and keeping lobby tidy.
What Will You Bring to the Table?
- High school diploma or equivalent is required.
- Minimum of two years’ administrative support experience; preferably in the professional services industry.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create, edit, and manage documents, spreadsheets, presentations, and emails.
- Ability to learn and utilize new software and tools as needed.
- Ability to work well within a team-oriented environment and contribute to effective team relationships.
- Must be able to use essential office equipment.
- Ability to organize and prioritize numerous tasks and projects in a dynamic and complex environment, meeting deadlines and successfully managing the daily workload.
- Interpersonal skills necessary to communicate in person, by e-mail and telephone and follow instruction effectively from a diverse group of attorneys, clients, and staff and to provide information with courtesy and tact while safeguarding confidentiality.
- Ability to change and adapt to current and future responsibilities and circumstances.
- Ability to work in the Minneapolis office up to 5 days a week as needed. A minimum of 3 days a week in the office is required.

- Our pay range for this position in Minneapolis is $29.09-$38.07 per hour (based on working 37.5 hours per week)
