POSITION PURPOSE
The Senior Executive Administrator will provide advanced administrative support to the CEO by ensuring their business is run efficiently. Tasks include but are not limited to managing the CEO’s schedule, calendar, meetings, and communications, preparing correspondence, presentations, and reports. The individual in this role will serve as a gatekeeper and liaison between the CEO, Board of Directors, Executive Leadership, and other business partners / representatives, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Promote the mission, vision, and values of the organization.
- Manage the CEO's calendar, schedule, and events, including making travel arrangements and reservations, preparing agendas, and arranging proper setup of meeting space.
- Prepare reports and PowerPoint presentations.
- Attend meetings and take minutes as needed.
- Communicate with Board members, management, executives, personnel, vendors, community partners / representatives, and clients, and relay messages to the appropriate parties.
- Handle critical communications, answer phone calls, and represent the CEO in meetings, calls, and emails.
- Handle office-management duties, such as organizing reports and documents, and screening visitors.
- Coordinate and oversee executive events.
- Recommend improvements to workflows, procedures, and equipment.
- Be proactive in identifying needs and aligning daily operations with OIC, Inc.'s goals.
- Monitor office supplies, equipment, and research advantageous deals or suppliers.
- Ensure filing systems are properly maintained.
- Other duties as assigned.
QUALIFICATIONS
Associate’s Degree in Business Administration or related field required; Bachelor’s Degree preferred. Minimum of 2 years’ relevant work experience; Proficiency in Microsoft Office programs (Word programs, Excel, PowerPoint, Canva, etc.)
KNOWLEDGE, SKILLS & ABILITIES :
Must be fully computer literate; Able to prioritize effectively; Excellent written, verbal, and interpersonal communication skills; Exceptional customer service skills; Must be flexible regarding work schedule; Resourceful and a self-starter; Must be detail-oriented and well organized; Discretion and confidentiality are of the utmost importance in this position.
