OVERVIEW:
The Executive Coordinator will perform advanced administrative duties for the Mission & Strategy and Community Outreach divisions, working enthusiastically in a fast-paced environment. This vital role will possess broad knowledge of organizational practices, policies and procedures, and the divisions' functions. Primary responsibilities will include controlling calls, managing calendars, scheduling meetings and events, data entry, coordinating travel arrangements, processing agreements, recordkeeping, drafting notices/letters, etc. Ideal candidates will possess strong computer and internet research skills and the ability to be flexible and engage seamlessly with colleagues at every organizational level.
PRINCIPAL DUTIES & RESPONSIBILITIES:
- Provides overall administrative and operational support to the Vice President of Mission and Strategy and the Vice President of Community Outreach and their teams with high accuracy and speed to meet critical deadlines. Handles correspondence including telephone, division mail, and email, travel arrangements, scheduling appointments and meetings, maintaining calendars, updating group email and contact lists, arranging Zoom/Teams meetings, and ordering supplies. Creates documents, spreadsheets, and presentations as requested. Composes and proofreads documents and routine correspondence as assigned. Manages business-related issues and non-routine situations by determining the appropriate course of action, using good judgment and knowledge.
- Performs administrative and/or project-oriented duties as assigned: provides facilitation and note-taking support in certain meetings, retreats, and events; prepares correspondence, forms, and reports; prepares all Service Provider Agreements and funding notifications; and maintains well-organized files for the division. Working closely with the finance department processes invoices, coordinates logistics, and monitors the use of corporate credit cards.
- Organizes meetings as required, including routine staff meetings of various Mission and Strategy and Community Outreach departments. Communicate, schedule, create packets, and record meeting minutes and attendance for the Community Impact Committee, other committees that develop over time, and agency executives' meetings. Ensures proper meeting setup, including audio/visual, room set up, and refreshments.
- Provide administrative support during the Single Investment Process and throughout the year: prepare multiple service provider agreements/funding letters for partners, prepare agreements to be executed electronically through secured software, receive and file executed agreements, and work closely with the finance team to process payments. Communicate with staff and finance to ensure proper documentation is being submitted to process payments.
