JOB SUMMARY:

The basic function of the Medical Administrative Assistant is to handle non-clinical administrative and clerical duties for the physician(s) and physician assistant(s) to whom assigned.  Duties typically include telephone calls, correspondence and clerical functions.  May serve as a resource for other secretaries in the department.

 

QUALIFICATIONS AND EDUCATION:     

Qualifications:

·      A minimum of 1 year of experience as a medical secretary in an EMR environment required, preferably in orthopaedics.

·      Must possess excellent organizational and problem-solving skills. Must be able

    to communicate effectively with patients, staff, physicians, vendors and

    others.

·      Must have excellent computer skills and proficiency with Windows based programs required.

·      Must be organized and be able to prioritize tasks and functions efficiently.

·      Must possess a solid knowledge and understanding of medical terminology

    and coding; orthopaedic terminology/coding preferred.

·      Must type accurately.

·      Must have the ability to work in a highly stressful environment.

  • High School Diploma or GED 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Functions as a member of the respective physician(s) team.
  • Acts as source of contact for ER consultations, patient calls, physical therapists, PCPs, employers, WC rehabilitation nurses, etc.  Secures necessary direction and information from clinical staff to appropriately act and/or follow-through on calls.
  • Maintains physician schedule:  Processes Provider vacation requests and tracks monthly.  Coordinates call schedule with provider’s calendar.  Schedules meetings and/or depositions and organizes chart for meeting for physician(s).
  • Processes Provider’s mail; completes patient job description forms, physical capability & disability forms, etc. and faxes as necessary
  • Processes inbound faxes and sends return faxes as needed.
  • Handles travel arrangements and itineraries as requested.
  • Verifies OR start times; retrieves patient preop testing results as necessary.
  • Handles prepayments and billing for meetings and depositions.
  • Retrieves labs and diagnostic results for patients as necessary and ensures follow-up has been completed with patient by Provider.
  • Contacts physicians regarding ER/inpatient consults. Registers hospital/ER patients in the OSS computer system.
  • Composes letters.
  • Schedules patient appointments and follows up on missed appointments for patients.
  • Completes to-do list and triages in EMR.
  • Monitors missed dictations by Provider.
  • Provides coverage for other medical secretaries as needed.
  • Other duties as assigned.

 

SUPERVISORY RESPONSIBILITIES:

No direct reports.

 

LANGUAGE SKILLS:

Must be proficient in the English language, both verbally and written, in order to communicate effectively with patients, co-workers, physicians, vendors and the general public.

 

PHYSICAL DEMANDS:

Periods of prolonged sitting. Light physical effort; some standing, walking, bending, reaching, stooping; manual dexterity to operate keyboard and other equipment; detail oriented; able to maintain a pleasant and courteous demeanor under all circumstances.

WORK ENVIRONMENT:

Climate controlled environment with occasional periods of being outside.
