Description :
The Executive Assistant to Programs will provide the Chief Program Officer, Day and Residential Services administrative and other support.
DUTIES / RESPONSIBILITIES
- Provide administrative and secretarial support to the Adult Services Departments, including but not limited to all residential and day services programs.
- Initiate correspondence or telephone calls as needed in the performance of job responsibilities.
- Attend meetings as requested to take minutes and maintain meeting minutes, agendas, action plans, and resolutions.
- Assist in planning and conducting special events in the community and those that are company-based. This will include ordering food, equipment, scheduling facilities and securing supplies.
- Handle special projects for the Chief Program Officer or Associate Chief of Programs.
- Work with vendors and assist in major purchases for the group homes. (vehicles, furniture, etc.)
- Assist in coverage of the reception desk as needed.
- Maintain acceptable work standards in all areas including attendance and punctuality.
- Attend all agency meetings and In-Services, as required.
- Responsible for organizing the client Angel Tree and client holiday parties.
- Responsible for creating contracts for Client Services.
- Responsible for maintenance of Group Home binders in preparation for annual state surveys.
- Be the point of contact for outside donations.
- Be responsible for creating / maintaining monthly spreadsheets and reports.
