JOB SUMMARY: Answer and route all calls. Attend to visitors and supply information regarding the organization to the general public and customers. Provide clerical support to agency personnel and to Executive Director in planning of agency events.
Receptionist Functions
- Answer telephone, screen and direct calls
- Take and relay messages
- Provide information to callers
- Greet persons entering organization
- Direct persons to correct destination
- Deal with queries from the public and customers
- Ensure knowledge of staff movements in and out of organization
- Monitor visitor access and maintain security awareness
- Provide general administrative and clerical support
- Prepare correspondence and documents
- Receive and sort mail and deliveries, to include interoffice mail with other agency facility
- Organize conference and meeting room bookings
- Co-ordinate meetings and organize catering
- Tidy and maintain the reception area, front lobby and conference room
Part time schedule 20 hours per week
Wednesday 7:45am - 4pm, Thursday 12:30 - 4pm, Friday 7:45am - 4pm
QUALIFICATIONS: High School Degree and one year of applicable experience. Proficiency with MS Word, Excel, Access, and PowerPoint programs. PABC and First AID/CPR certification preferred
