Position Summary:
We are searching for an Executive Assistant who’s ready to take on more than just calendar management. Reporting directly to the CEO, you’ll be the CEO’s right-hand person, handling essential executive tasks, managing day-to-day operations, and driving key initiatives. This role requires a proactive, detail-oriented professional with the confidence to keep our operations running smoothly and the drive to support our executive team as we continue our ambitious growth.
What You’ll Do:
- Own the CEO’s Schedule: Coordinate meetings, appointments, and travel with precision and foresight.
- Customer Engagement: Visit job sites and meet clients, ensuring they receive a stellar experience.
- Manage Job Reports and Billing: Review daily reports, assist with invoicing, and ensure projects are on track.
- Prepare Quotes: Draft and refine quotes that reflect our commitment to quality and client satisfaction.
- Document Management: Organize, file, and maintain all essential documents, ensuring seamless access.
- Collections Support: Help keep our accounts up-to-date, working closely with billing and collections.
- Special Projects: Take the lead on key tasks and projects, offering strategic support to optimize operations.
- Team Coordination: Manage crew schedules and be the main point of contact between the CEO and customers, keeping all stakeholders informed.
- Handle Confidential Information: Exercise complete discretion and professionalism when handling sensitive data.
Who You Are:
- Experienced: You’ve served as an executive assistant (bonus if you’ve been in IT or construction) and bring proven skills in managing complex schedules and multiple projects.
- Organized & Meticulous: Strong attention to detail and a passion for organization.
- Strong Communicator: Excellent written and verbal communication skills that keep everyone in the loop.
- Tech-Savvy: Proficiency with Microsoft Office, Google Suite, and ideally, QuickBooks.
- Quick Thinker: Ability to handle a fast-paced environment with grace and efficiency.
- Bonus Points: Bookkeeping skills are a major plus!
Salary : $55,000 - $75,000
