Job Description:
The Executive Assistant will support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are met, and operations run efficiently. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience performing administrative duties and providing support at the Executive level. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Primary Job Responsibilities:
- Manage calendar activity, schedules appointments and phone calls, coordinate complex travel arrangements and expense reporting and tracking.
- Communicate effectively with internal Executives, key external customers, potential clients, partners, and other administrative staff to gather and convey information, manage correspondence, coordinate key partner meetings, and drive decisions.
- Support planning/execution elements and partner with technical support for projects/meetings. This includes working with various departments and third-party vendors for:
- Town hall meetings, quarterly business reviews and annual all hands events
- Organizational announcements
- Departmental workshops
- Maintain and refining internal processes that support high-ranking executives companywide and coordinate internal and external resources to expedite workflows.
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals achieved, and best practices upheld.
Requirements:
- Bachelor’s degree and 5 years of executive administrative support, or 10 years of education and combined experience.
- Experience supporting senior executives in complex organizations and/or large corporations.
- Demonstrated experience using a variety of computer software applications including Microsoft Suite (Excel, Access, Word, PowerPoint, Outlook). Experience with travel applications such as Concur and other business applications associated with meeting scheduling and expense report management.
- Effectively communicate with individuals at all levels of the organization.
- Demonstrated ability to constantly maintain a high-level of confidentiality.
- Proven ability to manage multiple projects simultaneously.
- Strong people skills and decision-making abilities.
- Ability to work flexible hours on occasion, as required (i.e., working before 8am, after 5pm).
- Possesses critical thinking skills and demonstrate problem solving capabilities.

- Confident operating at an extremely high level and can handle challenges of supporting top level executives.

Salary Pay Range:
$ 75,000 – 80,000/annually
