Job Summary: IT Project Coordinator
Optomi, in partnership with a client local to Charlotte, NC, is seeking a highly organized and detail-oriented Technical Project Coordinator with 3-5 years of IT project coordination experience to join the team. The ideal candidate will have a strong understanding of IT systems, project management methodologies, and the ability to manage multiple projects simultaneously. In this role, this candidate will be responsible for coordinating technical projects, managing timelines, collaborating with cross-functional teams, and ensuring the successful execution of various IT and marketing initiatives.
Key Responsibilities:
- Coordinate and support multiple IT projects, ensuring that timelines, milestones, and project objectives are met.
- Serve as the main point of contact for project status updates, requirements gathering, and communication with clients, project managers (PM), and other stakeholders.
- Maintain and update project documentation, including technical specifications, timelines, status reports, and risk logs.
- Collaborate with the Project Manager, Data Warehouse (DWH) Team, Help Desk Team, and other cross-functional teams to ensure smooth project execution.
- Organize and manage daily stand-up meetings, including taking meeting minutes, tracking tasks, and managing progress updates.
- Assist with managing project resources, including assigning tasks, tracking work progress, and identifying risks or delays.
- Develop and maintain reports and spreadsheets to track the status of various projects, resource allocation, and risks.
- Provide technical support, troubleshooting, and dashboard management for projects and systems.
- Work closely with stakeholders on marketing, advertising, website, and brand strategy projects to ensure technical requirements are met.
- Ensure that all department project tickets are tracked, prioritized, and completed within deadlines.
- Facilitate communication between teams, clients, and project managers to ensure all parties are aligned and informed.
- Adapt to evolving project requirements and troubleshoot issues as they arise in a fast-paced, deadline-driven environment.
Required Skills and Experience:
- 3-5 years of experience in IT project coordination, client service, or account management, with a strong understanding of IT systems and processes.
- Familiarity with marketing, advertising, website, and brand strategy projects.
- Strong organizational and multitasking abilities to manage multiple projects simultaneously.
- Proficient in using the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote, and SharePoint).
- Experience with technical documentation, including creating, managing, and updating detailed project records.
- Excellent communication skills, both written and verbal, with the ability to communicate effectively with clients, project managers, and cross-functional teams.
- Experience with project management tools and tracking software (e.g., Monday.com, Jira, or similar).
- Knowledge of Scrum methodology and experience with daily stand-up meetings.
- Ability to take meeting minutes, schedule meetings, and assist with meeting coordination.
- Comfortable working in a team environment and collaborating with various departments to ensure project success.
- Technical support experience and familiarity with managing dashboards and data tracking tools.
