PURPOSE OF THE JOB
The Administrative Assistant provides administrative assistance to the Foam Sales organization to allow sales professionals more time in front of customers. The role is the first point of contact for members of the sales organization and is responsible for disseminating information. The ideal candidate is a team player, an active learner, and adaptable to change, with a focus on eliminating waste in processes across the organization.
JOB RESPONSIBILITIES
Service the Sales Team
• Coordinate and administer sales team meetings, customer events, and conferences.
• Work directly with the Sales team on Trade Shows and industry event needs.
• Maintain/own various FOAM Sales Team Outlook distribution lists.
• Maintain/own Sales Team Rosters and shared BOX folder.
• Maintain Customer Profiles.
• Document follow-up actions for above-mentioned events.
• Annual National Sales Meeting: Partner with the FOAM Administrative Coordinator to align expectations and needs for the FOAM Sales team regarding space, awards, attendees, etc.
• Customer Events: Assist in coordinating location selection, managing communications and registration processes, and ordering food and beverages.
• Trade Shows: For small to medium trade shows, manage booth booking, order marketing materials, and coordinate with attendees and vendors. Attend the event to set up the booth, meet customers, review messaging, interact with customers, and distribute marketing materials. For large trade shows, collaborate with the Trade Show Administrator.
• Contractor Events & Conference Calls: Work directly with the Sales Director, RSL, or ASM.
• Communicate and order promotional items, business cards, and other marketing-related needs.
• Assist the sales team with customized graphic requests, print jobs, and local marketing.
• Educate and assist the sales team with navigating systems and software (e.g., BI/Concur).
• Investigate budget and policy-related questions as needed.
• Manage regional membership dues and seasonal tickets.
• Track promo credits issued through pricing.
• Research and escalate questions regarding toolbox orders and literature/sample availability.
• Collaborate with FOAM Sales Operations on needs related to sales territories, customer requests, mailings, etc.
• Coordinate and assist with travel arrangements as needed.
• Perform additional duties as needed, depending on the areas supported.
• Manage Agent pricing documents.
• Use the Opportunity pipeline section of CRM to track jobs for agents.
• Participate in CRM and Portal test and learns and be a Dynamics user.
Eliminate Waste from the Sales Organization
• Drive process improvement and operational efficiency.
• Identify opportunities to develop, maintain, and execute standard practices.
• Educate the sales team on available tools (e.g., Power BI, )
• Participate in ongoing team meetings to leverage knowledge and best practices from sales support across the company.
Demonstrate Teamwork

• Share best practices and proactively offer solutions to benefit the sales organization.

JOB REQUIREMENTS
MINIMUM QUALIFICATIONS
• Bachelor’s degree preferred.
• Prior experience providing administrative support to a Sales organization.
• MS Dynamics and CRM experience.
EXPERIENCE
• Experience in an ever-changing, fast-paced environment.
• Proven experience in project management and organizing meetings and events.
• Ability to work independently and as part of a team.
• Prior administrative support experience for field sales teams.
• Experience in problem-solving and identifying solutions in the best interest of the company and the customer.
• Ability to identify, act on, and lead continuous change management improvement efforts.
• Knowledge of Power BI is helpful.
Salary : $25
