Primary assistant to the Operations Manager charged with the responsibility for planning, coordinating, supervising, budgeting, and controlling assigned resources to achieve organizational / divisional objectives. Reports directly to the Operations Manager for the assigned Division. Essential Duties
- Perform any or all of the duties described below. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.
- Encourage and build mutual trust, respect, and cooperation among team members.
- Manage day to day operations of the division by assigning, scheduling and reviewing the division workload and priorities.
- Develop employees in their knowledge, skills, abilities and competencies for performance and professional growth.
- Coach and counsel direct reports on performance expectations, policies and procedures.
- Facilitate and participate in division meetings to discuss updates and operational goals, Manage the full employee performance management cycle from goal setting through the annual review.
- Assemble and participate in the process improvement teams to identify opportunities for the division and organization to improve operational processes and systems.
- Review data to identify any patterns, trends etc. to ensure quality and timeliness of work and to identify opportunities for improvement.
- Assists in the hiring process by identifying the current divisional requirements from selection to onboarding.
- Develop and manage the divisions training plan to ensure knowledge of job functions.
- Manage employees' time and attendance for payroll and divisional coverage.
- Address and mediate conflict within the division and determine the appropriate course of action.
- Conform with and abide by all regulations, policies, work procedures and instructions.
- Develop and maintain constructive and cooperative working relationships with external agencies and business partners.
- Foster a productive work environment.
- Participate in and support the organizational strategic plan through alignment of divisional initiatives and projects to support the realization of the strategy.
- Communicates with coworkers, management, staff, the general public, and others in a courteous and professional manner.

- Perform same sex marriage ceremonies.Job RequirementsMinimum QualificationsRequired :
- Associate's preferred. A minimum of three years of progressive leadership experience or combination of education, training and experience of more complex and challenging assignments.Knowledge
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Knowledge of principles and processes for providing customer service such as customer needs assessment, meeting quality standards for services, and the evaluation of customer satisfaction.
- Knowledge of business and administrative principles and how business works such as planning, resource allocation, management techniques, coordination of people and resources and any information that affects the organization
- Knowledge of principles and procedures for managing such as interviewing, hiring, onboarding, employee relations, and performance management.
- Knowledge of the court system, statutes, administrative orders, court procedures and regulations to ensure the proper interpretation and application of the laws. (preferred)
- Knowledge of Clerk of Courts organizational operational policies, processes and procedures. (preferred)Skills
- Skilled at an intermediate level in using Microsoft Office (Word, Excel, Outlook, PowerPoint); typing 25-40 words per minute.
- Skilled in operating computers, office machines such as calculator, printer, phones, fax, scanner, copier, cash handling machine etc.
- Skilled in Odyssey to manage and track case information utilizing the workflow queues. (preferred)
- Skilled in MUNIS Self-service and Live) to manage time and attendance. (preferred)
- Skilled in HRSmart / Deltek to manage performance, learning and career development. (preferred)
- Skilled in effectively communicating in a variety of settings. (preferred)Abilities
