The Administrative Support Technician works in the Office of the Sheriff and the Office of the Undersheriff, providing comprehensive administrative support to ensure the efficiency of agency operations. This role involves maintaining accurate records, facilitating effective communication, and performing tasks with a high level of attention to detail and professionalism. Minimum Requirements
- At least 18 years of age.
- Must be able to comprehend and communicate fluently in verbal and written English.
- U.S. Citizen or possess a current permanent resident card.
- Clean criminal history; any arrest history will be individually evaluated.
- No illegal drug usage within the past year. Other drug usage will be evaluated on a case by case basis.
- High school diploma or general education degree (GED) AND at least one (1) year of related experience, including customer service, clerical, and/or administrative work.
- Ability to support administrative tasks including data entry, filing, scheduling, and maintaining accurate records. Completes and proofreads routine correspondence, reports, and other documents, verifying and confirming proper grammar and accuracy.
- Ability to support entering and updating information in databases, spreadsheets, and filing systems. Tracks paperwork progress, verifies necessary signatures and documentation, and follows up as needed.
- Ability to assist with facilitating meetings by scheduling, coordinating, transcribing, and documenting minutes. Compiles and monitors monthly statistical reports.
- Ability to receive, sort, and route mail, papers, and subpoenas to appropriate personnel. Maintains and distributes publications and handles confidential and sensitive information with integrity.
- Ability to utilize office software to assist with creating presentations and reports, troubleshoot minor technical issues, and support data management tasks. Prepares and scans documents for electronic storage.
- Ability to provide customer service by answering questions, responding to document requests, and exercising judgment regarding public information disclosure.
- Ability to assist with special projects, track progress, and support multiple tasks while maintaining organization and accuracy. Completes payroll paperwork and manages document administration for senior staff.
- Must be able to provide advanced customer service both in person and over the phone, handling inquiries and resolving issues with professionalism and courtesy.
- Must be able to read and interpret a variety of documents, such as safety rules, operating and maintenance instructions, and procedure manuals, ensuring compliance and accuracy in execution.
- Must be able to write routine reports, memos, and correspondence with clarity, proper grammar, and a high degree of attention to detail.
- Must be proficient in presenting information clearly and effectively in one-on-one and small group settings, adjusting communication style based on audience.
- Must be proficient in basic computer applications, including word processing, spreadsheets, and database management.
- Ability to learn and adapt to new software and tools as required.
- Must have effective organizational skills, with the ability to manage multiple tasks simultaneously, prioritize responsibilities, and maintain accurate and up-to-date records.
- Must be able to handle confidential and sensitive information with discretion and professionalism, ensuring compliance with privacy regulations and internal policies.
- Must have proficient level of attention to detail in reviewing and entering data, verifying accuracy in all tasks and documentation.
- An Associate’s Degree or higher, and previous experience as an administrative assistant support to executive leaders.
- Some positions, depending on the responsibilities, may require the candidate to successfully pass a physical or other selection processes when needed.
