Position Summary
The Staff Accountant provides service to the schools by providing accurate and timely financial information and data processing with the overall effort and concern to maximize the delivery of educational programs and services.
Performance Responsibilities
Level I (Non-Exempt)
- Processes bi-monthly payroll and quarterly and year-end reporting including W-2s.
- Maintains accurate payroll processing files ensuring appropriated deductions.
- Understands and is able to quickly correct and update payroll files as changes are received.
- Understands the current teacher, staff and merged master agreements as related to payroll and benefits.
- Reviews and maintains vendor accounts and prepares and distributes 1099s.
- Maintains and reconciles benefit reserve accounts accurately. Reconciles benefits’ payments. Food Service Management, receives food service revenue, distributes claim revenue back to school districts.
- Responds to information requests from internal staff and employees on a timely basis with complete and accurate data. Redirects questions to the appropriate staff member as necessary.
- Uses the automated accounting system reporting functions. Understands the use, meaning, and logic of all data fields used in routine operations and data processing.
- Prepares and analyzes financial statements monthly.
- Processes accounts payable checks.
- Makes journal entries as necessary.
- Processes cash receipts.
- Reconciles monthly bank statements.
- Interacts with the building level principals and Business Manager in assisting with the budgeting process.
- Assures proper budgeting and accounting of grant expenditures in conjunction with other personnel.
- Interacts regularly with the Business Manager and elected treasurers to assure proper cash flow and income and expenditure accounting.
- Assists schools with financial information processing and actively coordinates with schools to ensure receipt of essential information for accruals, cash receipts, payroll changes and fund accounting reporting requirements.
- Prepares and assists auditors during the yearly audit of records.
- Prepares year end records for storage.
- OESU Staff Accountant (other staff accountants may take on these tasks for central office finances as necessary and especially in the absence of the OESU Staff Accountant)
- Processes OESU accounts payables including account coding, invoice verification, data input, check processing and distribution.
- Responsible for bank online administration.
- Maintains vendor numbers, addresses, W-9, and 1099 Misc. information.
- Prepares and distributes and/or processes inter-district invoices including: assessments, advertising, insurance, etc. and reconcile to accounts receivable sub-ledgers.
Evaluation
The Business Manager shall perform evaluation annually.
